Your first week as a coach

Log in, find your squad, read your Home screen, tidy your player profiles and learn the weekly rhythm the app is built around.

Your club has set up your account and put you on a squad. The first week is about getting your bearings: where your players are, what Home is telling you each morning, and the rhythm the app expects across a week. None of it takes long, and it pays back every week of the season.

Before you start

  • Your club administrator has created your staff account with your email address.
  • You've been assigned to at least one squad. The examples here follow Sam Halloran, BYL U13 Head Coach at Harbourview.

  1. Open the Clubhouse app, or the dashboard website on a computer.
  2. Choose the Club Staff tab, not Parent / Player.
  3. Enter your email and password, then tap Log in.

No password, or can't remember it? Email me a code instead sends a sign-in code to your email, and Trouble signing in? beside the password field walks you through a reset. If you get in and Home says No squads assigned yet, the club hasn't linked you to a squad. That's a quick fix for your club administrator. Every other login snag is in the portal answer.

Find your way around

Everything you need week to week sits in the bottom bar on a phone, or the sidebar on a computer: Home, My Squad, Training and Matches first, then Calendar. When a player's wellness check-in needs a look, Wellness takes the fifth spot so you see it straight away, and Calendar moves under More. The development tools live under More too: Workouts once your squad has a strength and conditioning block, Presentations, IDPs, My development and Season plan. My development is your own plan with your technical director, covered in Grow as a coach. Head coaches always have it; an assistant coach sees it once their plan has started. On a computer, the panel icon beside your club's crest at the top of the sidebar collapses it to icons only, and hovering the icons shows the names again.

Home puts anything waiting on you at the top, then the next session, the next match and your recent results.

If you coach more than one squad, check which one you are in before you trust what you're reading. The header on My Squad names it, for example BYL U13. To switch, open your account menu (your name at the top right on a phone, or at the bottom of the sidebar on a computer) and choose the squad under Switch roles. Each row names the age group and your role in it, such as "U13 Head Coach".

If your squads span two seasons, each row adds its year, and a finished season is greyed out and marked Season complete, for example "U13 · 2026 · Season complete". Once the club has moved your programme to the new season and nothing is left to wrap up on your old squad, last season's row drops off the list.

Note: Some colleagues have club-wide sections in their menu, such as Finance or Surveys, under a Club heading. Those are extra access given to that person. Use your extra access explains each one.

Read your Home screen

Home is built to answer "what needs me today?" in one look, so start every day there. Anything waiting on you sits at the top: in Sam's case, A player review has been requested for Kai Moretti, requested by David Larsson, Agree to your end-of-season review, and a club event (Presentation Night) that wants a Reply by Sun 1 Nov. They leave Home once you've dealt with them.

Below those:

  • Next Training shows the next session, its plan (or No session plan set) and the live availability, for example 13 available and 1 out.
  • Next Match shows the opponent, kick-off and venue with the same availability read. While a match is live, Enter Live Match takes you straight onto the pitch view.
  • Recent Results lists your last five results with scores. See all → opens the full list.

Further down you'll find your squad's wellness, any current injuries and the Workouts summary, where your squad uses them. Late in the year the Next Match card switches to the season's outcome, such as a finals place, so a quiet card in September usually just means the season is done.

If you've been appointed to a squad for next season before the club has moved the programme over, Home shows Your 2027 season starts soon (with your season's year) in place of the training and match cards, and a count of the players who have accepted a place once families start accepting. Once the club moves the programme to the new season, Home is its ordinary self again, and pre-season training appears as it is scheduled. If anything is still open on your old squad, such as a development plan not yet published or an injury not yet closed, a Season wrap-up card on Home lists it until it's done. Its Open IDPs link opens that squad's plans, and Develop your players covers what happens to plans left open.

Meet your squad

The squad list is where your early picture of the group comes from: who trains, who plays, and whose family is actually on the app. Open My Squad. The Players tab lists everyone with their age, training attendance, games and minutes, card warnings beside the name, and where each family is with the Clubhouse app (No invite means they haven't been invited yet).

The squad list carries attendance, games, minutes and card warnings for every player. Tap a row for the full profile and parent contacts.

The sort control turns the list into answers. Sort by Train %: Lowest first before a selection conversation, or Access: Least active first when you want to know which families aren't reading what you send.

Tap any player for their profile: match and training history, clips, their development plan, S&C results, medical and wellness, and Contacts for their parents' phone and email.

Three things are worth doing in week one:

  1. Read the list properly. Attendance and minutes are already building, and they are your first evidence of who is engaged.
  2. Name your captain. On the player's Full Profile tab, edit Squad & Position and switch on Team Captain. The captain is then marked on your squad list and training roster.
  3. Fix what's wrong. On the same tab you can correct a player's name, date of birth, gender and photo under Personal Details, and their position and shirt number under Squad & Position, without waiting on the club office.

Beside Players, S&C Results carries your squad's testing results once your S&C staff have run a testing window. Where your programme uses retention, a Retention tab sits beside them. It opens for recommendations while the club's retention window is open.

If you've been appointed for next season, the Players tab shows the places already taken until the club starts the season, for example "19 players have accepted a place" above a list of names. It becomes the full squad list with nothing for you to do.

Know the shape of your season

Every block you run sits inside the technical director's plan for the year, so knowing which phase you are in tells you what the block is for. Season plan (under More on a phone) shows pre-season, the in-season blocks, breaks and finals, with key dates like grading and parent-meeting windows and the focus for each phase. It's read-only. Reading your season plan covers every part of it.

Calendar brings training, matches and club events into one view, with switches for each programme plus Club Events and the Season Calendar. Tap a season phase or key date and View the season plan takes you to the full plan.

Australian Championship coaches run a smaller portal for the campaign squad, with no Season plan or IDPs. The campaign lives in Matches.

The week you're signing up for

A normal week has four parts, and each has its own page in this guide:

  1. Training days. Check availability, put a plan against the session and run it. See Run your training week.
  2. Midweek selection. In the Mixed JDL that's dividing the age group between Blue and White before families are told on Friday. Everywhere else it's your lineup on the match itself. See Pick your team each week.
  3. The weekend. Run match day from the pitch view: kick-off, goals, substitutions and cards. See Run match day.
  4. Through the week. Development work with your players, a few minutes at a time. See Develop your players.

Confirm it worked

  • You can log in on your phone and you know which squad you're looking at.
  • You've opened a player's profile and found their parents' contact details.
  • Your captain is marked on the squad list.
  • You know which phase of the season you're in without asking anyone.
  • You've spent ten minutes in Set up your coach account: notifications, calendar sync and compliance.
