Save Errors Now Show the Real Reason Something Failed

When saving a session or other record fails, the platform now shows the actual error message rather than a generic 'Failed to save changes' banner, making it much easier for coaches and administrators to understand and fix the problem.

  • Previously, if saving a training session failed for any reason, coaches saw only a vague 'Failed to save changes. Please try again.' message — the real reason from the system was silently discarded. The actual error message is now shown, so staff know straight away whether the problem is a scheduling conflict, a missing field, or something else.
  • A performance issue that was slowing down page loads across the entire platform — including the login page — has been resolved. An internal component was loading a heavyweight piece of software on every page whether it was needed or not; it now only loads on pages that actually use it, keeping all other pages fast.

Club Finance Dashboard Now Available for Administrators

A full treasurer's view of club finances is now available, covering payments, refunds, debts, and reporting — including a new bank transfer option that avoids card processing fees on large payments like season registrations.

  • A new Finance section gives club administrators and treasurers a central place to view all incoming and outgoing money, with a full transaction history that can be exported to CSV.
  • Families can now pay large fees (such as season registrations) via bank transfer using a unique reference code, which costs the club nothing in processing fees compared to card payments — and their registration place is held and confirmed automatically once the transfer is verified.
  • PayTo has been added as a payment option at checkout for smaller charges, giving families another fast, low-cost way to pay.
  • A Payouts section lets administrators see exactly what has been paid out and reconcile individual transfers, while a dedicated Reconciliation inbox makes it easy to match incoming bank transfers to the correct family.
  • A Debtors view shows outstanding balances grouped by how overdue they are, with the ability to send chase-up reminders directly from the dashboard.
  • The Refunds section gives administrators a clear record of all refunds issued, and the Reports section includes GST breakdowns and a board-ready export.
  • Xero integration is available for clubs that use it — administrators can connect their Xero account and map transactions for posting, keeping the club's accounting system up to date.

Reminder Behaviour for Club Events Now Accurate and Consistent

The rules around when reminder messages are sent for club events have been clarified and made consistent, so what admins see in the form matches what actually happens.

  • A long-standing inconsistency has been resolved: events set to collect replies have always sent reminders to non-responders, but the form previously suggested they would not — the form now accurately reflects this behaviour.
  • Attendance-related settings like capacity limits, per-family guest caps, and deadlines are now properly cleared if an admin turns off the 'needs replies' setting, preventing orphaned configuration from causing confusion.

First Team Recruitment Planner Supports Placeholder Slots

Club boards and recruitment teams can now reserve a spot in the First Team squad plan for a signing that hasn't been identified yet, making it easier to plan budgets and squad shapes before a specific player is found.

  • Placeholder slots can be added to the squad plan with a position, a label (e.g. 'Target Striker'), and a projected wage — representing the most common state a recruitment plan is actually in.
  • Placeholder cards appear with a distinct dotted style so they're visually clear as unfilled slots, and they count toward the board's wage forecast just like a named player would.
  • When a real player is eventually identified, they can be planned into the slot to replace the placeholder.

JDL Parent Dashboard Shows Correct Kick-Off Times Earlier

Parents of JDL players now see both possible kick-off times on their dashboard for the week leading up to a round, with the correct time automatically confirmed once team selections are published on Friday.

  • The parent dashboard's 'Up Next' row now shows both JDL kick-off times (e.g. White team 9:30am / Blue team 8:30am) with a 'Team TBC' label until the weekend team is officially announced — preventing families from being shown the wrong time.
  • Once team selections are published, the dashboard automatically resolves to the child's specific kick-off time, arrive-by time, and ground — no action needed from the parent.
  • If a child is not selected for that round, a clear 'Not Selected' label is shown instead of showing confusing or conflicting fixture information.
  • A bug that caused some families to be shown last week's team's time — and in one case directed players to arrive after their match had already kicked off — has been fixed.

Club Event Admin Form Reworked for Clarity

The event creation form has been simplified so setting up attendance, pricing, and reminders is more straightforward. Admins now answer one clear question about whether they need to know who's coming, and all related settings follow from that.

  • The old three-option 'Responses' dropdown has been replaced with a simple yes/no question: 'Do you need to know who's coming?' — making the intent much clearer for admins setting up events.
  • Pricing, extra guests, capacity limits, and reminders now only appear when the club has said it needs replies, keeping the form uncluttered for simple announcement-style events.
  • Once someone has paid for an event, admins are prevented from switching it to free — protecting families from losing their payment records.
  • The Attendees and Sales tabs in the event detail drawer now only appear when they're actually relevant — a plain announcement no longer shows empty attendee or sales tabs.
  • The Sales tab remains visible to admins even if a ticket tier is deactivated after sales have occurred, so refund actions are always accessible.

Club Event RSVPs Now Work for Free and Paid Events

Saying yes to a club event — whether it costs money or not — now works the same way for parents and staff. The RSVP experience has been rebuilt so clubs can collect replies, manage guest numbers, and handle payments all in one place.

  • Parents now see a single, consistent attendance panel for all club events, whether the event is free or ticketed — no more confusing split experience.
  • Free events can now ask who's coming and allow extra guests to be named, a setting the admin form already offered but the parent side couldn't honour until now.
  • If a family confirmed their place when an event was free and the club later added a price, they're shown a clear message that their place is held — not that they owe money.
  • Staff and coaches can now RSVP to club events directly from their own calendar, so when a club asks coaches about a meeting or function, responses are properly recorded.
  • For ticketed events, staff are directed to the Clubhouse app to complete payment rather than seeing a broken or incomplete checkout on the staff portal.

Login and Key Pages Restored After Outage

A bug introduced over the weekend caused a blank error page for anyone trying to log in or access Clubhouse, affecting parents, coaches, and administrators. This has been fully resolved.

  • The login page and all connected areas of Clubhouse were returning an error screen for logged-out users from Saturday's update onward — this is now fixed and all pages load correctly.
  • The root cause was a behind-the-scenes software conflict that prevented the app from starting up properly when handling real user requests, even though it appeared fine during testing.
  • A security component used to safely process text content (such as session notes and calendar descriptions) has also been updated to a more secure version, closing some previously known vulnerabilities.

Registration Deposits Now Support Apple Pay and Google Pay

Parents paying a deposit as part of a retention or re-registration offer can now use Apple Pay or Google Pay at checkout, making the process quicker and more convenient alongside the existing card payment option.

  • The deposit checkout screen now matches the same experience used for event ticket payments, so parents have a consistent and familiar payment flow across Clubhouse.
  • Apple Pay and Google Pay are now available when paying registration deposits, reducing the steps needed to complete a payment on mobile.

Ticketed Club Events With Online Payments

Clubs can now create ticketed events where parents reserve and pay for seats directly through Clubhouse. From club dinners to presentations and fundraisers, the whole process — seat holds, payments, and receipts — is handled in one place.

  • Parents can browse upcoming ticketed events and reserve seats through the app, with their spot held while they complete payment.
  • Online payment for event tickets is supported at checkout, including Apple Pay and Google Pay for a faster experience.
  • A clear, document-style receipt is issued automatically once payment is confirmed, so parents have a record without needing to chase the club.
  • If a payment takes a little longer to process, reserved seats are held during that time and confirmed automatically once the payment goes through.
  • Club administrators can view a full attendee list and ticket sales summary for each event, with attendees grouped by squad for easy reference.
  • Parents can add events to their phone's calendar directly from the app, keeping training nights, presentation evenings, and club events in one place.
  • Automatic reminder notifications are sent to parents who haven't responded to an RSVP as the deadline approaches, helping clubs get accurate headcounts sooner.

Faster, Smoother Survey Send Experience for Admins

The survey send flow has been made faster and more responsive for administrators. The audience preview no longer recalculates every time a program checkbox is ticked, making the selection step much snappier.

  • When selecting which programs to include in a survey send, the program selection screen now uses a quick estimate rather than recalculating the full deduplicated audience on every checkbox change — the detailed preview loads only when the admin moves to the confirmation step.
  • The confirmation step includes proper loading and retry handling, so if the audience preview takes a moment to load or encounters an issue, admins see clear feedback rather than a blank screen.

Fixes to Survey Scoring, Notifications, and Results Accuracy

Several parts of the platform that connect to the member survey were not aware that different programs could have different deadlines, leading to misleading compliance scores, notification prompts that couldn't be dismissed, and results panels unlocking too early. These have all been corrected.

  • The club's Football NSW member experience compliance score now only counts responses against programs whose survey window has closed, preventing a campaign in progress from appearing as a poor-performing result.
  • The compliance alert that flags a low response rate no longer fires while any program's survey window is still open or hasn't been sent yet, avoiding false alarms mid-campaign.
  • Inbox notifications prompting members to complete the survey can now be dismissed once their own personal deadline has passed, rather than remaining stuck for weeks during a long club-wide campaign.
  • The senior results panel now applies the same privacy threshold as all other results views, ensuring senior player responses are only surfaced once enough have been collected — even when the senior program is surveyed before other programs.

Send Member Surveys Program by Program, With Custom Deadlines

Club administrators can now send the annual member survey to individual programs separately, each with its own closing date. This means junior families, senior squads, and mixed programs can all receive and complete the survey on their own schedule, rather than the entire club being surveyed all at once.

  • Admins can now select which programs receive the survey at each send, making it possible to give junior families a full week while sending the senior squad a shorter window a few days later.
  • Each member now has their own personal survey deadline, so a player whose window has closed is automatically locked out — they won't see a survey card that leads to a dead end.
  • When a season's survey has only been sent to some programs, a clear prompt appears on the Surveys page showing which programs are still waiting to be sent, keeping the campaign organised in one place.
  • A household that spans multiple programs (e.g. a parent with children in two different teams) is only invited once, and if a later send covers their program, their deadline is extended rather than leaving them bound to an earlier cutoff.
  • Members who qualify under multiple programs (e.g. a senior player who is also a junior parent) receive a consistent set of questions regardless of which program's send they were first included in.
  • Late registrations to a program are automatically picked up when that program's survey is sent, so no one is missed due to joining after an earlier wave went out.
  • Reminder notifications now reference each member's personal closing date rather than a club-wide deadline, so players and parents receive accurate and relevant reminders.
  • The survey only auto-closes once every program that should be surveyed has had its window expire — preventing a situation where one program's deadline caused the whole season's survey to close early, locking out programs that hadn't been sent yet.

Video Match Stats Restored After Provider Change

Match statistics and player radar charts for Veo recordings stopped loading in late July after Veo retired a service address. These have now been restored and load reliably again.

  • Match stats and radar data for Veo recordings that were unavailable since 24 July are now loading correctly again following Veo's infrastructure change.
  • The connection to Veo's stats service is now more resilient, with automatic retries and rate-limit handling so temporary outages are less likely to leave stats permanently blank.

Club Events Now Support RSVPs and Ticket Sales

Clubs can now ask members to respond to events, set attendance limits, and sell tickets with named pricing tiers. Parents can reply directly from their calendar, and the system tracks responses and available spots in real time.

  • Administrators can now configure any club event to request a response — choosing between a simple yes/no, a maybe option, or no RSVP at all — directly from the event editor.
  • Events can be capped with a maximum attendance limit, and a response deadline can be set so late replies are automatically declined.
  • Paid events support named ticket tiers (for example, 'Adult', 'Child', 'Family'), each with their own price and capacity, giving clubs flexible control over who pays what.
  • Before sending an event announcement that includes a price or RSVP request, administrators see a confirmation summary of exactly what recipients will be asked — because a notification with a price cannot be unsent.
  • Parents can now reply to events directly from their calendar — a clear Going, Maybe, or Can't Go status appears on each event, and tapping it opens a response screen with all the details needed to decide.
  • The number of spots remaining is shown to parents and is enforced by the same system that processes responses, so the count shown can never fall out of step with the count enforced.
  • For ticketed events, seats are reserved for 15 minutes while a family completes payment, preventing two families from both passing the final seat check and one being refunded after the fact.
  • Once payment is confirmed, a seat is secured even if the hold window has lapsed — the club is notified of any oversell rather than the system auto-refunding a completed purchase.
  • A family who joins a squad after an event is announced can still respond — eligibility is checked live at the moment of reply, not locked to a snapshot taken at announcement time.
  • Once payment has been made, a response can no longer be toggled — reversals require a refund with its own record, keeping financial records accurate.
  • Apple Pay and Google Pay are supported at checkout on compatible devices, with a standard card form shown on devices without a digital wallet.
