Use your extra access

Some staff are given club-wide sections on top of their coaching role, such as finance, surveys or S&C testing. Know what each one shows, what stays read-only, and how to ask for one.

Clubs lean on senior staff beyond their own squad. A head of programme keeps an eye on whether families are paid up, a senior coach reads what members said in the club survey, an S&C-minded coach follows testing across every age group. Clubhouse handles this with additional access: a club-wide section given to one person on top of their role. If a colleague's menu has sections yours doesn't, this is why.

Before you start

  • Additional access is set on your staff record, on its Access tab under Additional access. Your club's administrators make the change, so ask them to raise it.
  • The sections appear in your menu under a Club heading. On a phone they're under More.
  • Some access comes with a role and needs no grant: physios have Medical, S&C staff have S&C testing and the treasurer has Finance. Your staff record shows those as Included with role.

What each one gives you

AccessWhat you get
Player recruitment / Coach recruitmentRecruitment: the scouting board and the expression-of-interest inbox, at Full access or EOIs only (the inbox without the board). See Scout and review players.
Player IDPsDevelopment plans beyond your own squads, for the whole club or one programme, inside the IDPs you already use. No new menu item.
MedicalActive Injuries: the club's injury board and player injury records. See Read injuries and load.
FinanceFinance: the club's money, to read and to chase what families owe, never to move.
Member surveysSurveys: survey results, previews, sending and closing.
S&C testingS&C Testing: testing results across the club.
ContractsContracts: the senior hub (roster, player contracts, wages and squad plans), for the whole club or one senior programme. Placing a signed player into a squad stays with a club admin.

Player recruitment, Medical, Contracts, Member surveys and Finance are marked Sensitive on your staff record, because they carry player health records, families' money or members' own words. Treat what you read there as staff-room only.

Finance: see where the club's money stands

For a head of programme, the question that keeps coming back is whether families are actually paid up. The Finance section answers it without a call to the treasurer. You see the same tabs the treasurer works from: Summary, Transactions (payments and refunds), Banking (payouts, reconciliation and Xero) and Debtors.

Finance in the coach portal. The figures are live and the same as the treasurer sees, without the buttons that move money.

You can't move money. Refunding a payment, recording or importing payments, posting to Xero and confirming a family's bank transfer stay with the people who handle the club's money. Where you'd expect one of those buttons, Clubhouse says so, for example: You can see what is outstanding here, but not settle it. The tab-by-tab detail is in the finance answer.

The exception is contacting families. On Debtors, Ask families to pay… and Send reminders… are open to you. Both show who will get a message and what they'll read before anything sends, and a message can't be taken back once it has gone, so agree it with the treasurer first.

Surveys: read what members said, and run one

Survey results are the most honest read on how families feel about their season, and this is the extra section where you do the most. Each survey has Results, Feedback, Insights and Report tabs. Preview survey opens exactly what respondents see, in both versions, JDL and Youth for parents and Seniors for senior players, and nothing is sent or recorded while you look.

To send one:

  1. Tap Send survey and choose the programmes.
  2. Tap Review send. The next screen, for example Send 2026 Club & Coach Survey?, counts who will be notified by programme and shows the notification word for word.
  3. The button names that count, for example Send and notify 214 members. Tap it only when the number looks right, because a notification can't be recalled once it has gone.

Every parent and senior player in those programmes gets a notification and an inbox message, headed "Your voice matters at Harbourview FC": Please take a few minutes for the anonymous 2026 Club & Coach Survey before Sun 18 Oct — every response is read, and it genuinely shapes next season. What they see when they open it is in Complete the club survey.

What a parent sees when they open the survey you sent.

Close survey on an open survey stops new responses and unlocks the full results early. It can't be reopened afterwards. Left alone, a survey closes itself on its scheduled date. The club-side detail is in Run member surveys.

S&C Testing: compare across the club

Your own squad's testing results are already on My Squad under S&C Results. This section is for reading across squads. Choose a Program if you have more than one. Results shows each testing phase against the benchmarks for the Age group you pick, Trends follows change across phases, and Insights appears once there's enough data to analyse.

It is read-only. Recording testing phases, entering results and setting targets stay with your S&C staff, and player names here don't open player profiles.

Confirm it worked

  • The sections under Club in your menu match what you were told you'd been given.
  • You can answer "are our families paid up?" without asking the treasurer.
  • Before sending a survey, you read the count on the button.
  • What you read under additional access stays in the staff room.
