Set up your coach account

Sort your profile, notifications, phone calendar and compliance record in one sitting, so reminders reach you, training sits in your calendar and your WWC never lapses unnoticed.

Ten minutes in Settings in your first week sets up the rest of the season. Reminders reach you the way you want them, training and matches appear in your phone calendar without you typing them in, and your Working With Children Check can't expire without you seeing it coming.

Before you start

  • You can log in to the coach portal (Your first week as a coach covers that).
  • Have your WWC number and expiry date to hand, plus any coaching licence or first aid certificate you want on record.

Find your settings

Open your account menu (your name at the top right on a phone, or at the bottom of the sidebar on a computer) and choose Settings. When your WWC or a qualification needs attention, the menu also shows a Compliance row with a coloured dot, and the dot appears on your name too.

Your whole account in one list. The Missing badge on Compliance names the gap before anyone has to chase you for it.

Sam Halloran's Settings shows Missing on Compliance & Qualifications, because one of his safeguarding courses isn't recorded yet. That is the job for today. My development is your own plan with your technical director, covered in Grow as a coach.

Profile, phone and password

Your photo is what players, parents and colleagues see against your name, so it's worth adding. Profile holds your photo, full name, email and date of birth. Your email is also your login.

Mobile Number is the number the club has on file for you. Change it there if it's wrong (Australian mobiles starting 04). Change Password asks for your current password and a new one of at least 10 characters with an uppercase letter, a lowercase letter and a number. If you joined with a texted code and never chose a password, set one through Trouble signing in? on the login screen instead.

Choose what reaches you

Game day and training nights run on reminders, so set these once and they look after themselves. Notification preferences has two tabs.

Match Updates controls live scores and final results. Your own teams are listed already, each with a Live scores and a Final score switch. You can add whole programmes if you want results beyond your own squads.

Reminders & Alerts has a set of switches for each squad you coach:

  • Schedule Changes when a session or match moves or is cancelled
  • Suspension Alerts
  • Match Reminders and Training Reminders
  • Medical Status Updates when a player's injury status changes their availability
  • Coach Lineup Reminders, on Mixed JDL squads only, which keeps you ahead of the Friday team announcement

They all start on. Turn off only what you genuinely don't need, because a muted reminder is the one you'll miss on the day it matters.

Put your season in your phone calendar

Your phone calendar is where the rest of your life already lives, so training and matches belong there too. Open Calendar sync and choose Apple, Google or Outlook under Add to your calendar. On a computer there's also a QR code to scan with your phone.

Once it's added, Clubhouse confirms it and tells you there's nothing more to do. Calendar apps check on their own schedule, so the first sync can take a few hours. On the Calendar screen the feed reads Waiting for first sync until then and Up to date after, and changes the club makes reach your calendar by themselves. To add the same feed to a second device later, use Add on another device at the bottom of the page.

Under In your calendar, choose what goes in: training and matches for each programme you coach, plus Club Events and the Season Calendar.

Keep your compliance current

Your WWC and safeguarding training are what allow you to coach children, and the club has to be able to show they are current. Compliance & Qualifications is your own record of them. Tap Edit to add or update anything.

Your own compliance record. The outstanding course has its own Take course link, so closing the gap takes one sitting.
  • Working With Children Check: number, state, issue and expiry dates. A current check shows Valid. When the club's Member Protection Information Officer has checked it, it also shows Verified by club. Until then, what you enter is recorded as self-reported.
  • Safeguarding Training: both FNSW courses, Safeguarding Children and Harassment & Discrimination. Each is free, takes about 45 minutes through Play by the Rules, and has a Take course link. Record the date once you've finished.
  • First Aid (optional): not required by FNSW, but record your certificate if you hold one.
  • Coaching Qualifications: Add Qualification records each licence with its certificate number, issue and expiry dates, and whether it includes the JDL certificate. To put the certificate itself on file, drop the PDF or a photo onto Certificate (optional) in the same form, or tap browse to choose one from your phone (PDF, PNG or JPG, up to 10MB). If you skip it, Add certificate on the licence's row takes you straight there later, and once one is attached the row reads View certificate.

Settings shows Expiring soon, Expired or Missing against Compliance whenever something needs attention. Treat Expiring soon as a job for this week. Once your club enforces it, a coach of an under-18 squad without a current WWC on file can't open the coach portal until one is recorded. The same applies to both safeguarding courses once the club's training deadline has passed (what to do if that happens).

Use your inbox

Every notification also lands in your inbox, so nothing is lost if you swipe one away on your lock screen. On a phone it's the bell at the top. On a computer, click the bell at the bottom of the sidebar, beside your name: your latest notifications open right there, and View all opens the full inbox.

Each row takes you to the thing it's about, and marks itself read when you open it. Swipe a row left (or use the button that appears when you hover on a computer) to archive it. Archive all at the bottom clears the lot, and Archived keeps everything you've cleared.

One click on the bell, from any page. Unread rows carry a blue dot, and View all opens the full inbox.

Answer what's waiting on Home

Two kinds of request can appear at the top of Home, and both stay until you answer:

  • Club event invitations. When the club invites staff to an event, it appears with a Reply button and any reply-by date. You answer on the event itself.
  • AI assistant approvals. If you've connected an AI assistant under AI assistants, anything it proposes to change waits for you as A change is waiting for your review. Nothing changes until you choose Approve or Decline. The AI assistants page also lists what's connected and what has changed recently.

Confirm it worked

  • Next week's training appears in your phone calendar without you entering it.
  • Compliance shows no Missing, Expired or Expiring soon: WWC valid and both safeguarding courses recorded.
  • The reminders you rely on are on for every squad you coach.
  • Your inbox is cleared, not ignored, so the one notification that matters isn't buried.
