Set up training for the season
Put every squad on its weekly training pattern, change a single session when the weather or the ground says so, and watch availability and session plans as the season runs.
Families plan their week around training, so the pattern has to be settled early and then hold. In Clubhouse you set each squad's weekly pattern once: the nights, the start time, the length and the venue. Clubhouse then builds every session of the season from it. Coaches plan and run the sessions, and you watch the whole programme from its Training section.
Running training for a programme's first season? Its Training section is empty until a weekly pattern exists, and it says when the season starts. Work through it in this order.
- Check your squads are in place. The pattern is set squad by squad. See Build your squads.
- Set the weekly pattern with
Set up, under Set the weekly pattern. A programme with no previous season has nothing to carry over, soSet upis the way in. - Choose the first week of training. Clubhouse suggests the start of your pre-season phase, if your Season Plan has one. Nothing reaches families before that week.
- Invite self-assessments once the squads are final, in Roll out player plans.
- Watch for fixtures. They arrive by themselves once the league publishes the draw. Your side of match weeks is in Run your match weeks.
- Build your squads first, because the pattern is set squad by squad. See Build your squads.
- Have your ground allocation to hand: nights, pitches and time slots.
- If your Season Plan has a pre-season phase, Clubhouse suggests its start as the first week of training.
The pattern lives on Training Schedule, in the Season group of your programme sidebar. It's one board for the whole club, because ground allocations are shared. You can change your own programme's sessions; other programmes' sessions are there for you to read, so you can see who else is on the pitch that night.
The note at the top of the board sums it up: changes apply to every future session it creates. To move or cancel one session only, use the Calendar.
When a season needs setting up, a panel at the top lists each programme with how many of its squads are scheduled, and offers the right way in for each:
Carry over last seasoncopies last season's nights, times and venues onto this season's squads. You see every session before anything is saved, and each has an Edit button. Set the First week of training, then confirm with the button that names your programme. Anything Clubhouse couldn't copy, such as an age group with no squad this season, is listed under Needs setting up by hand.Set upappears instead for a programme with no previous season to copy. You pick the training days, the start time, the length and the first week, and choose which squads it applies to. You can fine-tune any squad afterwards.Add session, at the top of the board, adds one weekly slot for one squad: the day, the start time, the length in minutes, the venue, and optional S&C or video analysis blocks. Clubhouse shows the arrival time players will see, worked out from your club's arrival buffer.
Nothing reaches a family's calendar before the first week you set. So you can build next season's pattern well ahead, while the current season is still running. As soon as you save, the whole season's sessions appear on your programme's Training list, and families already placed in next season's squads see them in their calendar from that first week.
Warning: Editing a weekly slot changes every future session it creates for that squad. For a one-off change, such as a wet-weather call or a public holiday, change that one session instead (below).
To stop a slot altogether, switch the board to List, open the slot's menu and choose Delete. Its future sessions come off your Training list and out of family calendars. Past sessions and their attendance are kept.
Coaches can't add sessions or change times. The pattern is held centrally so families get one dependable week. When a coach needs a session moved, it comes to you.
For a one-off change, open the session from your programme's Training list and choose Modify. You can also do it from the session on the Calendar. Pick what's changing:
- Cancel Session, for this session only
- Change Time
- Change Venue
Every change needs a reason, which is kept on the record. Notify players and parents is on by default. The reason goes into the message unless you add a friendlier note of your own, which replaces it.
With notifications on, you see who will be told before anything goes: each squad with its families and staff counted, and the message as it will read. It comes up when you choose Continue from the Training list, or Save on the Calendar. The button names the total, as in Cancel training and notify 1 person below. A time or venue change reads Save and notify with the count in the same way. Keep editing takes you back. With notifications off nothing is sent, so the change saves without this step.
The squad's families and coaches get a notification on their phones. A cancellation also goes out by SMS, so nobody drives to an empty ground. A cancelled session reads like this:
BYL U13 training cancelled Tue 6 Oct. Ground closed after rain
Tapping the notification opens the session, marked Cancelled with your reason. Here it is a BYL U14 session a week later, called off for wet weather:
The session also sits in each family's Up Next on Home, where they'll look for it:
A time change gives the new time and the old one, and a venue change names both venues. Before its link, the SMS for a time change reads:
HARBOURVIEW: BYL U13 training time changed, Tue 6 Oct. Now 6pm (was 5:30pm).
Once a message has gone it can't be taken back. Restore Original Schedule puts the session back but sends nothing, so if families were told it was off, tell them it's on again yourself. Turn the notification off only for a correction that doesn't change anyone's evening.
Your programme's Training section shows every squad's sessions a week at a time, eight weeks ahead. Past days fold away, and each week's header counts how many sessions have a plan. Before a season starts, when the next eight weeks hold no training, it opens on the season's first weeks instead.
- Availability shows how many players are available against the squad size, coloured green, amber or red as it drops. A session with 6 of 16 available stands out before anyone turns up to half a squad.
- Session Plan shows the plan the coach has attached, or Needs plan.
- A finished session shows attendance against squad size instead.
Open a session for the detail: the session plan, each player's availability (Available, Modified, Rehab, Away, Sick, Injured or Training up), and any players or guests the coach has added for the night.
What you're scanning for isn't one session, it's the pattern. A squad whose availability is sliding, or whose sessions keep running without a plan, is worth a conversation with the coach long before it needs anything more.
Coaches attach a session plan on each session's own page. Training Library is in your sidebar, but it's being rebuilt: opening it shows A brand new Training Library is on the way. Nothing about the training week depends on it.
If your club films training or matches, Presentations in your sidebar is where clips are built into decks for the squad. Your analyst or coaches usually run it.
- Every squad on Training Schedule shows its weekly slots, and the setup panel no longer lists your programme.
- Your programme's Training list shows the season's sessions as soon as you save, even if the first week is months away. Until the season starts, the list opens on that first week.
- Coaches see the same sessions in their own portal. Their side is in Run your training week.
- Families see each session in their calendar from that week. Their view is in Your season in the app.
