Run coach development plans across the season
Three conversations with every coach: a pre-season plan, a mid-season review and an end-of-season review. Start them from Coaches, complete each one with the coach, and let Clubhouse send the reminders.
FNSW scores a development plan for every coach in the programme, and a plan only works if you and the coach actually sit down and talk it through. So Clubhouse runs each coach's plan as three conversations a season: a Pre-season plan, a Mid-season review and an End-of-season review. Every one goes the same way. The coach prepares, you complete it, and they agree. Clubhouse sends the reminders in between, so the only thing left for you to chase is the conversation itself.
Plans are for head, assistant and goalkeeper coaches. A coach has one plan a year, so an Australian Championship campaign has none of its own: its Coaches page has no plan band or Development plan column, and each coach's plan stays with their own programme. What the coach sees on their phone is in Grow as a coach.
- The coach prepares. For the pre-season plan they rate themselves 1 to 5 in Session design, Session delivery, Match-day coaching, Player management and Football knowledge, and write a reflection. For each review they write a reflection on how the season is going.
- You complete it. For the pre-season plan, comment on each area and set the season's goals and support. For a review, update each goal and write the Outcome and action plan. Then
Complete pre-season plan,Complete mid-season revieworComplete end-of-season reviewrecords it and tells the coach. - The coach agrees. They read it on their phone and tick that they've gone through it with you. Nobody is notified when they do: their chip on

A coach who hasn't prepared doesn't hold you up. If you've met and they never wrote their reflection, complete the conversation anyway.
Each conversation has a window, set in your Season Plan as a coach development date. The Season Plan templates add all three, the pre-season plans a fortnight ahead of the family meetings. Where a conversation has no date of its own, it borrows one:
- Pre-season plan: your
Initial planparent-meeting window, or the two weeks before the season starts. - Mid-season review: your first
Block reviewparent-meeting window, or a week either side of the season's midpoint. - End-of-season review: your Finals period, or the last three weeks of the season.
Every date on these pages says where it came from: Dates from your Season Plan, Parent meeting dates · set coach dates in your Season Plan (or Finals dates · set coach dates in your Season Plan for the end-of-season review) while it's borrowing, or Default dates · set them in your Season Plan when there's nothing to borrow.
Harbourview's Women's programme is running for the first time in 2027, with one coach so far. Before any plan has started, the band at the top of Coaches shows when the first conversation runs and where its dates come from.
Preview and start 2027 plans starts a plan for every head, assistant and goalkeeper coach in the programme at once, once you've read the confirm. It names everyone who is asked, with the count, and lists anyone left out under Not included with the reason, such as a coach with no login linked. You also see the notification exactly as each coach will read it. How do coach development plans work? opens the help beside the confirm without closing it. The button counts the coaches: Start and notify 1 coach.
Each coach gets their plan in My development, ready to rate themselves, and Clubhouse reminds them from there. To start just one coach, open their profile's Development Plan tab. Until their plan starts it reads Nadia's 2027 plan hasn't started, says when the pre-season plan runs, and offers two ways to begin. Ask Nadia to rate themselves sends the same ask to that coach alone. Start the plan yourself starts it and tells nobody, for a coach who rated themselves on paper or when you'd like to write your comments first: tap a rating to enter it for them. A coach with no login linked can't be asked in the app, so the tab says so and offers only the second.
Once plans have started, the band follows the conversation in progress, with its closing date and a count of where every coach is up to. At Harbourview's end-of-season reviews, 2 of 5 done · 1 ready for you · 2 waiting means two conversations are finished, one coach has prepared and is waiting on you, and two haven't prepared yet.
The Development plan column says the same for each coach. The band already names the conversation and its closing date, so each chip says only whose move it is:
- Ready for you: the coach has prepared. Open their plan and complete it.
- Waiting on Steve: the coach hasn't prepared yet.
- Deadline passed: the window closed before they prepared. Remind them, or complete it without their preparation.
- Completed · waiting on Sam: you've completed the end-of-season review and the coach hasn't agreed to it yet.
- Completed · agreed: the whole season is done.
Sort the column with Plan: Your move first to bring the coaches waiting on you to the top. Remind 2 coaches asks everyone who hasn't prepared, with the same confirm as starting plans. A coach asked in the last 7 days is left out, and the confirm says so.
Tap a coach's chip to open their Development Plan tab. The line at the top says what's next, such as Sam sent their reflection. Write the outcome and action plan, then complete the end-of-season review. The conversation in progress is open, and the rest fold to one line each with how they finished. The panel beside it, 2026 conversations, is the whole season at a glance, with every date.
In a review you'll see the coach's reflection, their goals and a box for the Outcome and action plan: what went well, what to work on and the agreed next step. Write it in the conversation, not after, so you both leave with the same words. Each goal's status saves as you change it. What you write is saved with Save changes in the band at the foot of the conversation, which appears once something is unsaved, next to the conversation's complete button.
For the pre-season plan, the tab shows the coach's ratings with a box for your comment on each area, then the goals and support. Under the goals, Suggested from Nadia's lowest areas offers a goal for each of their two lowest-rated areas. These are hand-written SMART goals for your kind of programme, not generated, and Use this goal only fills in the form for you to edit. The next qualification on the coach's ladder is suggested the same way.
When you tap Complete end-of-season review, the confirm names the coach, says what happens next and shows the notification word for word. The button reads Complete and notify 1 coach.
The coach reads it on their phone and ticks that they've gone through it with you. If they haven't agreed after 3 days, Clubhouse reminds them.
You can ask a coach yourself at any time with Remind Sam at the top of their plan, which is Ask Sam to rate themselves before their plan has started. The coach gets a notification naming you, and the top of their plan shows the ask in amber until it's done. If they haven't set up notifications on their phone, it waits in their Clubhouse inbox. Their plan then shows Reminded with when, so you don't ask twice.
Clubhouse also reminds coaches for you, each morning, and never more than once for each reason:
- when a conversation's window opens, if they haven't prepared yet
- 3 days before it closes
- once after it has closed, if they still haven't prepared
- 3 days after you completed a conversation they haven't agreed to
It won't remind a coach who was asked in the last 7 days, by you or by the reminders. You get one notification too: when conversations waiting on you close within 3 days, a single message counts them for the programme. At Harbourview it would read:
2 end-of-season reviews are waiting on you in Boys Youth, due 24 Oct. Open Coaches to complete them.
The Feedback log under the conversations is where your observations, feedback conversations and mentoring sessions live, each dated and under your name. Add note takes the kind, the date and the note. Notes are private unless you tick Share with Sam, and a shared note appears on the coach's plan under Feedback from your name, without a notification. When you sit down for the next review, the log is your evidence.
- The band's count reaches every coach by the time each window closes.
- Every coach's chip ends the season on Completed · agreed.
- Each plan's goals came from the coach's own ratings, and each review's outcome names a next step you both agreed.
