Send the deal and get it signed

Turn a draft into an offer the player signs on their phone, or record a deal already signed on paper, and let the signature do the squad admin for you.

An offer is the moment a draft becomes real. The agreement is frozen exactly as you wrote it, the player gets a link to read and sign it, and their signature does the squad admin for you. Until you send, nothing about the draft reaches the player, so redraft as much as you like first.

Before you start

  • A deal on file. The player's row reads Draft contract.
  • The FNSW details, for a professional deal. The send stops on a blank Item, and it is quicker to fill them in the contract than halfway through sending.
  • A mobile that can take a text. Signing is confirmed with a code texted to the player, so the offer needs a real mobile. Overseas numbers need their country code, like +44 7911 123456.

Starting from nothing

A programme's first offer is the one most likely to stop on Readiness, because it's the first time the club's side of the agreement is needed for it. Who signs for the club can be set for each programme. If your club's administrators set it only for the programmes that already had deals, the first offer from a new one reads No signatory is set to sign this contract — choose who signs in Player Contracts settings. They fix it in Configure player contracts. Nothing about the draft needs to change.

After that, the first send is the same as every other. Harbourview's Women's side sent Maya Holloway's offer first, at $300 a week, and her row moved from No contract to Offered while Erin Callaghan's stayed a Draft.

The first offer out: sent deals read Offered, and nothing counts as signed until the player signs.

Open the offer

Tap the player in Contracts and choose Send offer on their profile. A recruit's profile shows it as the second step, Send the offer to Mitch. You can also send from the bottom of the contract itself, under Ready to put this to Mitch?

The offer panel shows everything that is about to go:

  • Contract: the agreement type, the term and the salary for each competition, with Preview the contract to read it exactly as the player will.
  • Delivery: one sentence saying how it reaches them. For Mitch Galloway, who isn't on Clubhouse yet: No Clubhouse account yet — the offer letter goes to Mitch by email and text message, with a secure signing link. A player already on the app gets it in Clubhouse with a copy by email, and a text if the app alert doesn't reach them. Nobody needs an account to sign.
  • Where the offer goes: the mobile and email it will use. For a player these are the club-wide contact record, so changing them here changes them everywhere, and the panel says so. A recruit's details also include a date of birth (Decides whether a guardian must co-sign.) and a postal address (Goes on the front of the FNSW agreement.).
  • Readiness, only when something outside this panel is stopping the send, such as no postal address for the player or nobody set up to sign for the club. Each line says what to fix.
Everything between this draft and a signable offer, on one panel: what is missing, what is being sent, and how it reaches the player.

If you change a detail, save it before you send. Save the details before sending — the offer goes out with what has been saved, not what is typed above.

Then choose a deadline. With no date, the offer is Left open — the place is held until you withdraw the offer. With a date, it closes at the end of that day, Sydney time. An open offer is a real choice: the place stays held and nothing prompts the player.

Send it

Send offer asks once more, for example Send Mitch Galloway’s offer?, and shows you exactly what is about to happen:

  • Each person who will be contacted, by name, with how it reaches them (app, text message or email). For an under-18 player that includes the parent or guardian who co-signs.
  • The message they will read, word for word.
  • The Professional (NRR05) agreement is frozen as drafted and goes out with the offer. What they sign is exactly what you drafted. Changing it afterwards means voiding the request and sending again.
  • The deadline, for example It closes end of day 3 Oct 2026., or It has no deadline, so the place stays held until you withdraw it.

The button counts who it reaches, for example Send offer and notify 1 person. Back returns to the panel without sending. Check the names before you confirm, because You can withdraw the offer afterwards, but these messages will already have reached them.

While it's out

As soon as it sends, the terms lock. Open the contract and it reads Out for signature, with Sent 16 Oct 2026 · viewed 17 Oct 2026 (or not yet viewed), and every field says Locked while the contract is out for signature. That lock is the promise the send made: nobody can quietly change a deal the player is reading. In Contract history the deal shows Awaiting signature.

While the player has it, the terms are locked. Remind them, copy the link to text them yourself, or void it to change something.

You can act on it from two places.

On the offer in the player's profile (a recruit's shows Waiting on Mitch with Open the offer):

  • Send reminder shows who it will reach and the exact message, then sends the offer again by the same route it first went when you select Remind, for example Remind 1 person.
  • Extend deadline opens Extend the deadline. Pick the new date and it Closes end of that day, Sydney time.
  • Copy link gives you the signing link to pass on yourself, for a player whose messages aren't getting through.
  • Withdraw offer asks Withdraw this offer? and is clear about what happens: The offer link stops working and the place is no longer held. You can send a new offer later. Keep it live backs out.

On the contract itself, opened from Contract history:

  • Resend notification asks first, for example Send a reminder about Mitch Galloway’s offer? It names everyone the reminder reaches and how, and shows the message word for word. Select Remind, for example Remind 1 person, to send it, or Not yet to back out.
  • Copy SMS link copies the link the text message carries.
  • Void & revise… is for a negotiation that has reopened. It warns that Mitch won’t be able to sign this version. Void request closes the link and unlocks the terms, so you can redraft and send again. Voiding keeps the deal alive on new terms, where withdrawing takes the offer away altogether.

Both reminders show who they reach before anything goes. Once sent, a reminder can't be taken back.

What the player sees

A player on the app gets a notification. The title alone says whose deal and which season: Jake’s 2026 contract is ready to sign. The message underneath reads:

Harbourview has sent Jake’s player contract for the 2026 season. Review the terms and sign in Clubhouse.

A reminder changes only the title, to Reminder: Jake’s 2026 contract is waiting. A player who isn't on Clubhouse gets an email and a text instead. The text is one line followed by the signing link:

Hi Jake, Harbourview have sent your 2026 player contract to sign:

The link opens this:

What the signing link opens: a card naming the deal (1), with everything of substance behind the texted code (2). A forwarded link shows a stranger nothing.

The first screen names the deal and nothing more (1): the player, the season and the term, with no wage figure and no agreement text. Everything that matters sits behind Review contract & sign (2), which first texts a 6-digit code: We’ll text a code to the mobile the club has on file (61•• ••• •08) to confirm it’s you. That is the mobile saved in the offer panel, which is why it needs a real one. A forwarded link shows a stranger nothing.

Once the code is in, the letter and the full agreement open, and the same code confirms the signature. Only a player who takes longer than ten minutes to read is texted a fresh one, and nothing they have signed so far is lost. For an under-18, a parent or guardian signs as well. If a family asks how it works, send them Sign your player agreement.

Or record a deal signed on paper

Some deals are signed across a table. Record a signed deal, on the offer panel or on the offer while it's out, covers that: For a deal done outside Clubhouse — the drafted terms are recorded as signed exactly as they stand. Enter the Signed on date and choose Record as signed.

If a signing link is still open it warns you first: Recording this closes that link and marks the offer accepted — if they sign it first, that signature stands and this will be refused. File the paper in the contract's paperwork section as well. How do I record a contract signed on paper? covers reading its terms in from the PDF.

After the signature

However it is signed, the same things follow on their own:

  • The contract reads Signed and the player moves into Under contract on the roster.
  • The budget counts the wage as signed money, not an estimate.
  • A signed recruit becomes a player on the club's books, in the first-grade squad.
  • The player gets their Clubhouse invite if they aren't on the app yet.
  • A deal signed through the link also files its signed PDF in the paperwork section and emails the family their copy.

None of it is yours to do by hand. That is why a signature, not an admin job, is what moves a player into Under contract.

Chase the loose ends

A few notices pick up anything that didn't finish:

  • Paperwork says signed, in the amber Paperwork says signed notice at the top of Contracts. It means a filed agreement is dated and signed, but the deal was never recorded, so nobody is listed and no invite has gone out. Record the deal finishes the job.
  • 2 signed targets not on the roster yet, or however many there are, in the same notice: Marked signed on the recruitment board — add them to a senior roster with a contract. Use Sign on each one.
  • One signed player isn’t on the app yet, with the squad's other items needing attention: Their fixtures, training times and match-day info all live in Clubhouse. Each row says what's stopping them. Usually that's a missing mobile, or an invite that has gone unanswered for a fortnight.

Confirm it worked

  • Every offer you've sent is signed, inside its deadline, or deliberately left open.
  • A signed player reads Under contract, and a link-signed deal has its PDF in the paperwork section without you filing it.
  • None of the notices above is showing.
