Recruit players for your programme
Keep every player you’re chasing on one board, move each card as the conversation goes, and get a colleague’s second opinion before the club makes its call.
Retention tells you who is staying. Recruitment fills the gaps. Recruitment in your programme sidebar holds every player you are chasing for next season, every family who has enquired through the club's form, and the tools for finding players you haven't heard of yet. Each programme has its own board, so BYL's Recruitment page shows BYL's targets and nobody else's.
Recruiting for a programme's first season? Its board is already there, reading No recruitment targets yet, and there is nobody to retain until the season has been played. Work through it in this order.
- Check the club's expression-of-interest form lists your programme. Your club administrator runs the form, and enquiries for your programme land on the
EOIstab, covered in Answer your recruitment enquiries. - Add the players you already have names for with
Add Target, under Build your board. - Look for former players on the
Alumnitab, and for players you haven't heard of in Find players you haven't heard of. - Send offers, covered in Send a recruitment offer. First Grade offers are composed in Contracts instead.
- Expect your first retention round towards the end of this first season, deciding who keeps a place for the next. See Run your retention round.
- Recruitment appears in the sidebar of each programme you're assigned to. If it's missing, ask your club administrator to check your assignments.
- Know which season you're recruiting for. The board opens on Recruiting for 2027 (next season), and every offer you send is for a place in next season's squad.
- If you plan to attach an amateur agreement to senior offers, check that somebody is nominated to sign for the club under Settings, in Player Contracts. Without one, those offers can't be sent.
| Tab | What's in it |
|---|---|
Players | The board: every player you're tracking, arranged by how far the conversation has gone. |
Alumni | Former players now registered at other clubs. See Find players you haven't heard of. |
Coaches | The club's coach hiring pipeline. See Running the coach recruitment pipeline. |
EOIs | Everyone who has filled in the club's expression-of-interest form. See Answer your recruitment enquiries. |
Research | Search every player in the system, plus the Standouts leaderboards. See Find players you haven't heard of. |
What you see depends on the access your club has given you. Somebody helping only with enquiries sees the EOIs tab and nothing else, and Coaches only appears for staff who work on coach hiring.
The board has six columns, left to right, in the order a recruitment actually happens:
Identified → Contacted → Interested → Trial → Offered → Signed
- Select
Add Targetfor a player you already have a name for. - Drag the card right as the conversation moves on, and drag it back when a target goes quiet. A board where nothing ever moves backwards stops describing reality within a season.
- When a family says no, open the card and choose
Mark as declined. The card keeps its column and shows Declined, so next season you know you already asked and how far it got.
Two columns are easy to merge in your head, so be precise about them:
- Trial is something that happened: the player came and trained or played. Plenty of players trial and never get an offer.
- Offered is something the club has done: an offer has gone to the family and the decision is theirs.
A player who trialled well and is waiting on the club's call stays in Trial. Moving them early makes the board claim an offer nobody has sent. Dragging a card into Offered opens the offer composer rather than just moving it, and dragging a card out of Offered while the family still holds a live offer stops to ask: Move anyway leaves the offer open, Withdraw the offer closes the family's link.
Tip: A card that hasn't moved in a month is telling you something. The board is at its most useful for spotting stalled conversations.
Open any card and the panel beside the board holds the whole conversation:
- Contact. Who the offer letter is addressed to, and their relationship to the player: Parent, Guardian, The player themselves or Someone else. A card showing "No contact name — the offer letter has nobody to greet" isn't ready for an offer. If an email or text failed to arrive, the card says Bounced next to that address or number.
- Squad. The programme and age group you're recruiting the player for, which is what the offer letter names and prices. If the family already holds a live offer, changing the squad here doesn't change their letter. The panel points you to the offer's own
Change squadinstead. - Match footage. Clips of the player.
Add clipuploads your own (MP4, MOV or WEBM, up to 200MB). - Player reviews. A second opinion from another member of your football staff (see below).
- Remove. Only for cards that should never have existed, such as a duplicate. It deletes the target and every activity recorded against them for good, so use
Mark as declinedfor a player who simply said no.
Before you commit to a player, it often pays to have your goalkeeping coach or a senior coach watch them. Under Player reviews on the card:
- Select
Request review. - Choose the reviewer under Reviewer, and use Note to tell them what to look for, for example "Watch his first touch under pressure on Saturday."
- Select
Continue. Clubhouse shows you exactly who will be notified and the message they'll receive, before anything is sent. - Select
Request review and notify 1 personto send it, orBackto change something.
Your colleague gets a notification that reads "Player review requested: Priya Shah asked you to review Harry Nguyen." The request waits on their Home screen until they answer with Pursue (worth chasing), Monitor (not yet, but promising) or Pass (not for us right now), plus their notes. You can cancel the request from the card until they answer, but the notification has already reached them. When they submit, you're notified in turn, for example "Alex Moore reviewed Harry Nguyen: Pursue." The reviewer's side is covered in Scout and review players.
The board is where every target ends up. Three jobs feed it and close it out, each with its own page:
- Answer your recruitment enquiries: the
EOIstab, weekly, before the families go cold. - Find players you haven't heard of: the
Researchsearch, the Standouts lists and theAlumnitab. - Send a recruitment offer: the offer, what the family receives, and following it up. First Grade deals go through Contracts instead, which that page explains.
- Every player you're chasing has a card, in the column that matches how far the conversation has gone.
- Specialist staff with recruitment access, such as a goalkeeping coach or analyst, can add targets, move them from Identified to Trial, edit details, upload footage and write reviews. Offers and signings stay with you: if they try to move a card into Offered or Signed they're told "Offers and signings are handled by club admins." A card sitting in Trial may be waiting on you.
