Pay fees and keep receipts
The season fee arrives in the app and gets paid there, in full or in instalments, at the same price however you pay. Every receipt is kept for you.
The season fee is what keeps an elite pathway running: the coaching staff, the pitches, the referees and the competition entry. Clubhouse puts the whole fee in one place, so you can see what's paid, what's left and when it's due without hunting through emails.
One promise shapes everything below. The price you see is the price you pay, whichever way you pay it. Card, Apple Pay and bank transfer all cost the same, and the app says so under the pay button: Card, Apple Pay or bank transfer — same price on every option.
The examples follow Milan, whose 2026 fee is $900.00 with $450.00 already paid.
New to the club this season? Season fees reads Nothing owing right now until the club asks for a balance. That's the normal start. When it does, the rest is short.
- Wait for the notification that Milan's season fee is ready, described under Before you start.
- Choose how to pay, under Choose how to pay. The price is the same however you pay.
- Pay, under Pay, or by bank transfer.
- Find your receipts any time, under Receipts and history.
- The club tells you when the balance is ready to pay. You'll get a notification, Milan's season fee is ready, which says the remaining amount can now be paid in Clubhouse.
- A card on your home screen, ⚽ Milan's 2026 season fee, shows how much of the fee has been paid, what's still to pay and the due date. Tap
Review season fee. - That opens Season fees, with one card for each child and season. If there's nothing to pay it says Nothing owing right now.
The fee card starts with the Remaining balance, how much has been paid, and the due date. The breakdown underneath (Season fee, Paid so far, To pay) shows how the number was reached, deposit included.
Then comes the decision: How would you like to pay?
- Choose Pay in full (Done in one go) or a split into payments (1). A split spells out each one, for example $150.00 today · $150.00 on 11 Nov · $150.00 by 4 Dec.
- If you split it, consider ticking Auto-pay the rest. The app will charge the card you use today on each due date, and you can turn it off at any time.
- Tap the pay button. It reads
Pay $450.00 nowin full, or names the first payment for a split, such asPay $150.00 today.
If a split is greyed out, the reason is written on it: Not enough time before the due date, or This balance is too small to split.
The checkout shows the Total in AUD.
- Apple Pay or Google Pay sits at the top where your phone offers it, and your card is under Or pay with card.
- Tap
Pay $followed by the amount, which is always the number you just chose. - If your bank takes a moment, you'll see Confirming with your bank. It usually clears within a minute and can take up to half an hour. You don't need to wait on the screen, because the receipt is emailed when it clears.
If a payment doesn't go through, the checkout says nothing has been charged. Try again, or use a different card.
Some families prefer to pay from their banking app. The amount is exactly the same. The only difference is that the club has to see the money arrive, which takes a business day or two.
- In the checkout, tap Pay by bank transfer.
- The club's Amount, Account name, BSB and Account number are shown, and a PayID where the club has one.
- Copy the code under Use this reference and put it in your transfer's reference field. It's how the club matches the money to your child. A transfer without it lands in the club's account with no name attached.
- Make the transfer, then come back and tap
I've made the transfer.
The fee card then shows Transfer on its way — $450.00 until the club confirms the money arrived, and your receipt is emailed then. Changed your mind? The pay button is still there, so you can pay by card instead.
Sometimes the plan is agreed in person, at training or with someone at the club, and the club sets it up for you. You'll get a notification such as Milan’s payment plan is set up, with the number of payments and the first one's amount and date, and an email listing every payment. The plan is already on the fee card, so there's nothing to choose.
A plan the club sets up can be monthly or fortnightly. If Football NSW hasn't confirmed the fee yet, the plan splits the club's estimate and the fee card says so. While it's an estimate you can't change or cancel the plan in the app, and auto-pay stays off. Once the fee is confirmed you'll get a notification such as Milan’s season fee is confirmed, telling you the confirmed fee and what your next payment is now, and an email with every remaining date. What you've already paid counts towards it.
Once a plan starts, the card reads Payment plan · 3 payments and lists each one (1st payment, 2nd payment, Final payment) marked Paid once it's paid, Due with its date while it's coming up, or Was due if it has slipped past. The next one has its own pay button.
If auto-pay is on, the card shows Auto-pay on with the card's last four digits and the Next charge date. You'll get Auto-pay coming up before each charge. To stop it, tap Turn off on the fee card, or go to Settings → Payments and use Turn off under Card on file. That one checks first with Turn off auto-pay?, and Turn off auto-pay confirms it. Your remaining payments then need paying by hand, and the app reminds you before each one.
If auto-pay is off, the app sends Season fee payment coming up before each due date, and Season fee payment due today on the day.
- Paying ahead is fine: Any payment counts toward your next instalment.
Pay remainingwith the amount clears the lot. - Changed your mind about the split?
Not ready? Cancel this planis there until a payment has been taken under it. - If an automatic payment fails, you'll get We couldn't take your payment. The app tries once more three days later, or you can pay from the fee card straight away.
Every payment is receipted twice. It's emailed when you pay, and it's kept in Settings → Payments (Balances, history and receipts), grouped by year, and you can filter to one child if you have more than one.
Tap a paid row to open its Tax invoice / receipt. It's headed just Receipt if the club isn't registered for GST. It shows the status (Paid, Part refund or Refunded), and Share and Print send it wherever you need a copy. A payment still on its way can't be opened as a receipt until it has actually been received.
The fee card says Milan is set for 2026!, with Season fee — paid in full, the receipt number and See you at the first session.
- The home screen card has gone, or shows the next payment and its date.
- If you split the fee, you know whether auto-pay is on.
- A bank transfer went with the reference, not just the right amount.
- The receipt is in your email and in Settings → Payments.
