AI assistants and your account
Connect an assistant like Claude or ChatGPT to your Clubhouse account, know exactly what it can and can’t see about your family, and stay in charge of every change it makes.
If you already use an AI assistant such as Claude or ChatGPT, you can connect it to Clubhouse and ask it things like "What time is Milan's training on Thursday?" or "Do we owe any fees at the moment?" in the middle of whatever else you're doing. It answers from the club's own records, so you don't have to find the right screen.
Connecting is entirely optional. This page covers what an assistant can and can't see about your family, the few changes it can make for you, and how to switch it off.
- It connects to a parent's account. A player's own login can't connect an assistant.
- Claude and ChatGPT are both listed as
Coming soon. Clubhouse is being added to each assistant's own directory, so connecting will take a couple of taps. Until then, the connection answer explains the manual way to connect Claude, which suits confident users. - Your questions and the answers go overseas. Assistants run on their provider's computers, mainly in the United States, and Clubhouse has no agreement with either provider about how they handle your information. Read what an assistant can see, and where the data goes before you connect.
Open Settings, then AI assistants. The page has up to four parts, in this order:
- Changes waiting for you. This only appears when something needs your decision, and is explained further down.
- Your connected assistants, each with the club, the role it connected as and the date, and a
Disconnectbutton. - The assistants you can connect. Tap one to see the questions you could ask it, what it would see for your account, what it never sees, and how connecting works. Looking connects nothing.
Recent changes: everything your assistants have changed in the last 7 days, in the words you were shown at the time. It only appears once something has changed.
An assistant sees what you can already see in Clubhouse as a parent, and never more. For your family, that means:
- The schedule: fixtures and results, training sessions, key dates, league tables and club information.
- Your children: their first names and the squads they're in, their game time and training attendance, their development plan goals and whether each is on track, their strength and conditioning results and training load, and any injury the club has recorded with when they're expected back.
- Your family's admin: fees and payment plans, next season's offers, absences you've already reported, and who coaches your children's squads.
- How to use Clubhouse: it can look up the club's help answers.
It can't list a squad or look up other players. The one place other children's names come up is a published Mixed JDL weekend lineup, which is the same list you already see in the app.
These are never visible to an assistant, whatever you ask, and the connection screen lists them too:
- Contact details for anyone
- Dates of birth
- Medical and safeguarding records
- Wellness check-in responses
- Anything written in free text, including coaches' notes
That's why an injury answer gives the status and the expected return but not the physio's notes, and a development plan answer gives the goals but not the coach's written summary.
You always start from the assistant's side. When it sends you to Clubhouse, you sign in as usual and see a connection screen before anything is shared. It names the assistant and your club, shows Connecting as Parent, and lists what the assistant will be able to view, what it can help you with, and what is never visible. It also explains that your questions go overseas.
Tap Allow access to connect, or Don’t allow to walk away with nothing shared. A parent's account connects without a PIN. You're sent straight back to the assistant, ready to ask.
An assistant can make three kinds of change for you:
- Replying to training for your own children
- Recording or removing your own children's absences
- Replying to a free club event to say whether your family is coming
It never does any of these on its own. It tells you in one plain sentence what it's about to do, and nothing happens until you say yes in the chat. None of these changes sends a message to anyone else. Each one then shows in Recent changes as Made, so you can always check what was actually done.
Some changes would send a message to other families, like moving a training session. An assistant can't carry those out from a chat at all. Instead the change waits in Clubhouse until you approve it there. None of the family changes above work this way, so you'll only see this if your account also has a staff role at the club.
When one is waiting, Home says A change is waiting for your review, and the AI assistants page says A change is waiting for your approval. Either one opens the same card: which assistant, which club, and the change in one sentence, with Decline and Approve side by side. When approving would tell families, the card names the squad, shows the notification they'll get word for word, and the button counts them, such as Approve and notify 23 families.
Declineand you'll see Declined. Nothing was changed.Approveand you'll see Approved. The change has been made, followed by how many families were notified.- Leave it and it lapses after 24 hours, with nothing changed. Doing nothing is always safe.
On the AI assistants page, tap Disconnect next to the assistant and confirm. It loses access to your Clubhouse account straight away, even in the middle of a conversation. Whatever you've already discussed stays in the assistant's own chat history, but it can't read anything more from Clubhouse unless you connect it again.
If a connection shows Reconnect to approve newer access, it was connected before something new was added and is still limited to what you first agreed to. Tap How to reconnect for the steps. You don't need to disconnect first, and you can also leave it as it is.
- The
AI assistantspage shows only assistants you recognise. If there's one you don't, disconnect it and let the club know. - Nothing is waiting for your decision, or you've decided each one.
- You know the rule: an assistant sees what you can see, and changes only what you say yes to.
