Build your player register

Bring the season’s registrations in from PlayFootball in one pass, add late arrivals by hand, and get every family signed in to the app before the first training night.

Every squad list, match-day selection, training roll and family notification in Clubhouse starts from the player register. If a player is missing, their coach can't select them and their parents hear nothing. If a family hasn't signed in, every schedule change you send misses them. So the register has two jobs: every registered player in the right squad, and every family connected.

Players in the sidebar is where both happen. It shows one programme and season at a time, with a card per age group and each player's training attendance, games, minutes and app access.

Before you start

  • Get the Detailed Registration Report from PlayFootball if your club registers there. In PlayFootball, go to Reports, then Registration Reports, choose Detailed Registration Report for the current season and export it to CSV.
  • Check the programmes are switched on. Players can only go into squads for programmes the club runs. See Set up your club.
  • Mobile numbers matter most. Families sign in with their mobile and a code texted to it, so a player without a parent mobile on file has a family you can't invite yet.
One card per age group. The number on Invite counts every family member who could be signed in but hasn’t been invited yet.

Starting from nothing

Your register is rarely empty on day one. Your league records bring in this season's squads and players, which is what the setup guide's Check your squads and players step asks you to confirm, squad by squad. What they don't bring is most of the families: the same step tells you how many players have a parent mobile on file, and on a new club that's usually a small share. So the first job is contacts, not players.

  1. Confirm each squad in the setup guide against your own records.
  2. Import from PlayFootball (below) to bring in the parents and guardians, with siblings linked into one family.
  3. Invite the families, under Get every family signed in.

Two empty screens mean something different. No players registered for this program on Players is a programme with no roster yet, and Import players from CSV fills it. A programme that starts next season says so instead, and its players arrive through next season's offers rather than an import.

Import the season from PlayFootball

One file brings in the whole season: players, parents and guardians, and siblings linked into one family. For a club whose league records already brought the players in, this is mostly how the families arrive.

  1. On Players, select Add Players, then Import from PlayFootball.
  2. Upload the CSV. Clubhouse compares every row with the players you already have and shows a preview before anything is saved.
  3. Read the preview. Each row is marked New, Updated (an existing player, matched on their FFA number), Restores (a removed player coming back), Skipped, or Links target, when the row matches a player your TD has been tracking in recruitment. Leave that one ticked so their scouting history comes with them.
  4. Select the import button, which names the count, such as Import 23 New Players.
  5. When it finishes, Invite 23 New Players to Clubhouse takes you straight to the invitations for the families you just added.

Only an exact FFA number match updates an existing player. Anything less certain is skipped with the reason shown, so a large import can't quietly create duplicates. Run it at the start of the season and again whenever a new wave of registrations comes through.

Add a player by hand

For a mid-season signing or a trialist who has just registered:

  1. On Players, select Add Players, then Find the player. One search covers your club's own records, the recruitment pipeline and the Dribl register.
  2. If they already exist, Clubhouse says so. A removed player comes back with Restore player and their history intact, and a recruitment target is joined up with Link pipeline record. Only if they're genuinely new do you create them, or choose Add Manually from the start.
  3. Enter their name and date of birth, and pick their squad. In Mixed JDL that means the colour team, such as MJDL U9 Blue. Every other programme has one squad per age group.
  4. Juniors need a parent or guardian before you can go on. If a brother or sister is already at the club, Link existing parent puts them in the same family.
  5. Send the family their invitation with Send Clubhouse invite, or Skip for now and send it later from the profile. Clubhouse shows who it goes to and the text first, and it goes when you select the button that counts them, such as Invite 2 people.

Get every family signed in

The register is only half the job. Until a family signs in, the club's messages don't reach them.

To invite in bulk, select Invite on the Players page (the number on it counts the family members who haven't been invited yet). Invite to Clubhouse lists every parent and senior player you can reach, with filters for Not Invited, Invited, Active and No Mobile. Everyone you can invite starts ticked, so check the count before you go on; Deselect all clears the ticks if you only want a few. Then select the send button, which names the count, such as Send 3 Invitations.

Tick who to invite. Each row shows the mobile the text will go to.

Nothing is sent yet. Clubhouse asks Send these Clubhouse invitations? and lists who it will reach, squad by squad with a count, and anyone left out because they're already signed in or have no mobile. Each person gets a text, and an email if one is on file. The check shows the text word for word. For a parent called Fiona, it reads:

Hi Fiona, you're invited to Harbourview FC Clubhouse! Tap the link to get started:

followed by their personal link. On a phone they're asked to download the Clubhouse app, then sign in with their mobile and a one-time code. No password. Get your family set up shows what they see next.

The invitations go when you select Invite 3 people. Not yet takes you back with your ticks as they were. Once sent, an invitation can't be recalled.

Three invitations, squad by squad, with the text each person gets.
Where the invitation lands. Once a parent signs in, Home is about their child: the season so far, then what’s coming up.

To invite one family, open the player: the Contacts tab for a junior's parents, or Clubhouse Access for a senior, then Send invite. If one has already gone, the button reads Resend on Contacts and Resend invite on Clubhouse Access. The same check opens for that one person, and the text goes when you select Invite 1 person or Resend to 1 person.

No Mobile is your fix-list. Those families can't be invited until a number is on file, so ask the coach or check the registration.

Chase the families who haven't signed in

After a round of invitations goes out, watch the Access column on each squad card. It moves from No invite to Invited, then No logins if they haven't signed in, then shows how recently they were last in. Above, nearly every U13 family still reads No invite, which is exactly the job this page is about.

Chase anyone still on Invited or No logins in the first week. A parent who says in week ten that they never hear from the club usually never signed in.

Keep the register right through the season

  • Squad moves happen on the player's profile or the squad pages. See squad management.
  • A player leaves. On the profile's Full Profile tab, Remove player takes them off every roster, match selection and training list across the club, and you can note a reason. Their history stays. Nobody is notified when you do it, the family included, and the window says so before you press Remove player again to confirm, or Keep player to back out. If one of your head coaches removes a player from their own portal instead, the programme's TD gets a notification: the coach's window names the TD and shows the notification word for word, and the button reads Remove and notify 1 person. A removed player who re-registers comes back through Restore player.
  • Captains. The Team Captain switch sits on the player's Full Profile tab.
  • Exports. Export builds a CSV of the whole programme or one squad. Every row has the player's name, date of birth, age, programme, age group, team, jersey, position, captain and guest status, and you choose what else to add: parent contacts, season stats, S&C results, development plans and registration (FFA number and photo). That answers most of the committee's "can we get a list of…" requests. The same export sits on each programme's Squads page and on a squad's own page. On the app it opens the share sheet, so you can send the file to Files, Mail or Drive.
  • Next season. Once planning opens, the Season list gains a "planning" entry for next year showing who has already signed, built from retention and recruitment offers. Players get onto it by accepting an offer, and Export saves that list, by age group if you like, with a Place column showing where each offer stands. Once a programme has moved into that season and its players are on squads, the entry drops "planning" and shows the real squads, with Add Players on the season the programme is in. See Roll into next season.

The player management answer covers each profile tab in detail.

Confirm it worked

  • Every registered player is in Clubhouse, in the right squad, with no duplicates.
  • Every junior has at least one parent or guardian with a mobile.
  • The No Mobile filter on Invite to Clubhouse is empty, and every family has been invited.
  • The Access column is moving from Invited to active use across every squad.
