Roll into next season

Next season’s squads are ready long before this one ends. Plan into them while this season carries on. Each programme then moves across on its own once it has finished, and you can move one early or undo it.

People say "rolling over" for two different things, and mixing them up is how a club ends up with coaches opening next year's empty squads in the middle of finals. The first is having next season's squads, which Clubhouse does for you and which changes nothing for anyone. The second is moving a programme to next season, which changes which year its screens open to. Clubhouse does that too, one programme at a time, once that programme has finished. This page covers both, in the order they happen.

Before you start

  • Next season's squads probably already exist. Clubhouse checks every night and creates them for each programme, so for most clubs they're in place well before this season ends.
  • Your retention round is the real work. Offers to this year's players decide who fills next year's squads. Your technical directors run it; Run your retention round is their side, and Run the club's money covers the fees.
  • Coaches are assigned to next season's squads separately. The new squads start with no players and no coaches.

Next season's squads are already there

Every night Clubhouse makes sure each programme has squads for the coming year. It copies this season's age groups, so a programme that ran U12 to U16 this year gets U12 to U16 next year. Mixed JDL also gets its two colour teams in each age group. A brand-new programme gets squads for the age groups set up for it.

A few programmes are left alone on purpose:

  • A programme that already has next season's squads, so nothing you've set up is overwritten.
  • A programme that ran in earlier years but not this one. It stays dormant until you bring it back.
  • A campaign programme such as the Australian Championship, which follows its own dates.

The new squads start empty. No players are copied across, because retention offers decide who carries on. No coaches are copied either.

If your club finished Clubhouse's setup guide, its last step says the same thing. Either it reads "Your squads for next season are already in place.", or it offers Set up 2027, tells you how many squads it will make across how many programmes, and adds "Nothing is sent to anyone." Choose Create 2027 squads. It then reads "2027 is ready" and offers Go to retention.

Plan next season alongside this one

While a programme is still on 2026, its next season is open for planning:

  • Each programme's Squads page has a Season dropdown. Choose 2027 (planning) to see the provisional squad build itself as families accept their offers. How do I plan next season's squads? covers that view.
  • Training patterns planned for 2027 attach to 2027's squads straight away and wait there.

Each programme moves when it has finished

Programmes finish at different times. Your senior league can wrap up weeks before a junior one, and a campaign such as the Australian Championship runs to its own dates. So each programme moves to next season on its own. A programme moves overnight once:

  • every one of its teams has finished its season, and the last of them finished at least three days ago, in case a result is corrected; and
  • 21 days have passed since its last fixture, because finals are often published after the regular rounds. Cancelled and abandoned fixtures don't count, but a postponed match does, because it's still owed.

A campaign programme moves the day after its campaign ends, and its squad, staff and players are wound down at the same time.

When a programme moves, every club admin gets a notification, such as "Boys Youth League has moved to 2027", that opens Settings > Modules. If a move can't go ahead, you get one notification saying why, not one a night.

The move also puts every player with a secured 2027 place into their new squad, so nobody has to be moved up by hand. For Mixed JDL that's the age group, for example MJDL U10, not Blue or White. The colour team is picked each week in the lineup, as it is during the season, and the age group's players are on both colour teams' training sessions.

Who sees which year

Moving a programme doesn't move everyone in it at once. People follow their own place:

  • A player or coach with a place for 2027 sees 2027 straight away.
  • A player whose 2027 place was secured after the move, and who hasn't been put in a squad yet, sees their 2027 age group with "team to be confirmed".
  • Anyone whose place for next season isn't decided yet keeps seeing 2026, with its results and wrap-up, until it is.
  • A player who is leaving keeps 2026 as a finished season they can still look back on, without a coach to contact. That only happens once their family has been told. Until the release email goes, they look exactly like anyone still undecided, so the app never breaks the news before the club does.

Nothing is deleted. Last season's results, rosters and history stay where they were.

See where every programme is

Every programme's row under Football Programs in Settings > Modules carries its season beside the name. For most of the year that is just the year, in grey. Once every team has finished it says when the move will happen, for example "2026 · moves 11 Oct".

When there is something to decide, the row gains a button beside Settings instead, in the season's blue, so it's there without shouting: Move to 2027 now on the night it's due, or Undo for a day or so after. The button says what's happening, so the year beside the name stays plain. If a move was refused, the reason is written on the row.

A programme can be ready while a campaign it feeds is still being played: NPL Men's finishes in September, while its first-graders play the Australian Championship into December. That's fine, because the campaign keeps its own season. The Season row and the move's confirmation both say so, with the date the campaign runs to. The rest of the time the full account is one tap away: open the programme's Settings and the Season row at the bottom shows what moves it next, for example "4 of 6 teams have finished", a three-step bar (teams finished, results settled, moves), and the last move.

A technical director sees the same thing at the top of their programme's home page while it's finishing or has just moved, so they don't need Settings. Right after a move it reads Moved to 2027, with an Undo the move link under it for as long as Undo is offered.

Move a programme early

Once a programme's season is over and it has a 2027 season set up, its row offers Move to 2027 now. Use it when you don't want to wait for the nightly move. Your technical director or a club admin can move a programme early.

The confirmation lists what will happen, counted from a rehearsal of the real move, and shows the notification the other admins will get. Choose Move to 2027 and notify, or Not yet if anything surprised you.

Undo a move

Right after a move, the row offers Undo move to 2027. Undo puts back exactly what the move changed and tells the other admins. It's only offered while everything the move changed is still as the move left it. Once any of it has been changed again, the Season row inside Settings says what, and the move stays.

Undo also stops once coaches have started development plans for the new year, because going back would strand those plans in a season the programme no longer runs. The Season row then names the count, for example "IDPs started for 2027: 3".

Finish last season's loose ends

A move rarely catches everything, so the programme's home page lists what's still open on the season it left:

  • players with no 2027 place and no exit recorded, with where their offer stands;
  • releases still to email;
  • players who secured a 2027 place after the move and are waiting for a squad;
  • open injuries from 2026;
  • unfinished development plans, review blocks still open or plans not yet published;
  • FNSW hand-overs not yet recorded.

While the programme is on 2027, the rest of the club is still on 2026 and nothing is scheduled for 2027 yet, the home page is one card. The move heads it (Moved to 2027 while it can still be undone), then a Finish 2026 list of the lines above ("These stay here until they are done."), then a Set up 2027 list of the planning jobs: build the squads, map out the season, set the training schedule and, where you can recruit, bring in players.

The programme doesn't wait for the rest of the club. Once 2027 has training or fixtures scheduled (or the club reaches 2027 too), the home page is the programme's ordinary dashboard again, and the list carries on above it as a 2026 wrap-up panel. While the club is still on 2026, that panel ends with Set up 2027, folded, so the planning jobs are a tap away.

Each line links to the page where you deal with it. There's nothing to dismiss: a line goes when the work behind it is done, and the list goes when every line has. With nothing left to finish and nothing scheduled yet, the home page is just the planning jobs, with the move at the top for as long as it can be undone.

Close out last season's development plans

Development plans don't need chasing to the last one. The development line says when they will close by themselves, for example "Any 2026 development plans still open will be closed on 2 Nov." That's four weeks after the move: overnight, every plan still open on 2026 is closed, and any review block still open is skipped. Reviews already recorded are kept.

To finish sooner, choose Close out 2026 IDPs on that line. The confirmation lists what it will close, squad by squad, and says After this the move to 2027 can't be undone. Families and coaches are not notified. Choose Close out 2026 IDPs again to go ahead, or Not yet. Open IDPs on the same line opens the programme's development plans on the 2026 season, where each plan can be read but not changed.

The difference matters for Undo. A move whose plans were closed automatically can still be undone, and the plans reopen. Closing them out yourself is a decision, so it stops the move from being undone, and the Season row says "IDPs closed out".

Coaches get the same idea for their own squads. A coach with open review blocks, unpublished plans or open injuries on a 2026 squad sees a Season wrap-up card on their Home screen, and its Open IDPs link opens that squad's plans. While that work is open, the coach portal opens on the 2026 squad rather than its 2027 replacement, unless the coach has another squad that's still playing.

Confirm it worked

  • The programme's row in Settings > Modules shows the new year, and its Season row says when it moved.
  • The programme's Squads page opens on 2027, and 2026 is still there in the Season dropdown.
  • A coach with a 2027 squad sees it. If one sees none, they haven't been assigned to next season yet.
  • Wellness check-ins and GPS carry on for the squads that had them.
