Quick answer

How do I manage player registrations in Clubhouse?

Full walkthrough: Build your player register in the guide covers this step by step.

Clubhouse maintains a central registry of all players at your club. You can add players manually, import from PlayFootball, or invite parents to connect their children.

Viewing players

  1. Go to Players in the admin portal.
  2. Pick a Program. The page shows one programme at a time, with its players grouped into a card per age group.
  3. Use the search bar to find a player by name.

Each row shows the player's shirt number, name, age, Train %, Played, Mins, Avg/G, and Access (when their family last used the app). Tap any column heading to sort that age group by it.

On mobile, the sort control sits in the age-group header next to the squad name, so you can re-sort by minutes or attendance from the top of the screen.

Looking at next season's signed players

Once your club has created next season, a Season dropdown appears next to the Program picker. Choose the next year, labelled (planning), to see who is already signed for it.

Until anyone is placed on that season's squads, the list is built live from your retention and recruit offers, so it is read-only: Add Players steps aside, as an offer is how a player gets onto it, and Export adds a Place column. Squad planning opens the programme's planning page, where a place actually gets changed.

Once players are on that season's squads, you see the real list instead, labelled plain 2027, with Add Players on the programme's own season.

Two things worth knowing:

  • A programme with no squads in the current season opens on its next-season list by itself, so it never looks empty when players are already signed.
  • Your choice of the next year follows you as you change programme, since planning is usually a club-wide job. Choosing the current year applies to the programme you're on.

Importing players from PlayFootball

If your club uses PlayFootball for registration, you can import player data via CSV:

  1. Go to Players, tap Add Players, then Import from PlayFootball.
  2. Upload the PlayFootball Detailed Registration Report CSV export.
  3. Review the preview. Each row is compared with your existing records and shown as one of:
    • New — a brand-new player who will be added.
    • Updated — an existing player (matched by FFA Number) whose changed details will be synced.
    • Restores — a previously removed player, matched by FFA Number, who will be restored and updated.
    • Links target — the row appears to match a recruitment target in your pipeline. Leave the checkbox ticked to link the new player record to that target, or untick it to import without linking.
    • Skipped — the row needs a human decision (for example, it may be a duplicate of an existing player, or it matches a pipeline target that is already linked to someone else). Skipped rows are never written — they appear in the import's warnings so you can resolve them and re-import.
  4. Tap Import.

Only exact FFA Number matches update records automatically — anything less certain is skipped with its reason shown rather than guessed at, so a big import can't quietly create duplicates. This is the fastest way to get your full roster in at the start of a season.

Adding a player one at a time

  1. On the Players page, tap Add Players, then Find the player.
  2. Search before you create. One search covers your club's records, your recruitment pipeline, and the Dribl player register, so you can see whether Clubhouse already knows the person before anything is created:
    • In club — they're already one of your players. Clubhouse warns you before a duplicate is created.
    • Removed from club — a previously removed player. Choosing Restore player brings back their existing record and history rather than starting a new one.
    • In pipeline — they match a recruitment target. Choosing Link pipeline record keeps their scouting and pipeline history on the new player record.
    • Not in club records — a Dribl player who isn't in your records yet. Selecting them prefills the form; nothing is created until you confirm.
    • Can't find them? Go back and tap Add Manually.
  3. Enter or confirm the player's details — name, date of birth, and any contact information. For senior squads (Men's, Women's, First Team) a Player Mobile is used to invite the player to Clubhouse.
  4. Assign them to a squad. A player belongs to one squad, so for a Mixed JDL age group — the only kind that fields two colour teams — pick the team they'll actually play in, MJDL U9 Blue or MJDL U9 White, not the age group as a whole. Every other programme, Girls JDL included, has a single squad per age group, so there's just the one to pick.
  5. Junior squads: add at least one parent or guardian contact before you can continue — juniors are invited through a parent.
  6. Send Clubhouse invite: tap it, check who gets the text (a junior's parents, or a senior themselves) and the message itself, then tap the counted button, e.g. Invite 1 person. Or tap Skip for now and invite from the profile later.

Player profiles

Tap any player to view their full profile, which includes:

  • Personal details — Name, date of birth, contact information
  • Squad assignments — Which squads they belong to across programs
  • Development — IDPs, goals, and progress
  • S&C results — Physical testing data across phases
  • Match history — Games played, minutes, and events
  • Attendance — Training session attendance records

The Overview tab also shows a Journey timeline — where this player's record came from and every stage it has passed through: an expression of interest, the recruitment pipeline, offers sent and accepted, a signed contract, PlayFootball registration, squad placements, and (if it comes to it) removal. The same timeline appears on a recruitment target's detail panel, so once a target is linked to a player both views tell one story.

Inviting parents and guardians

Parents and guardians access Clubhouse through the mobile app using their phone number. When a parent is connected to a player, they can view schedules, results, development updates, and more.

For details on inviting parents and players, see How do I invite a player to Clubhouse? and How do I invite a family member?.

Player eligibility

FNSW sets strict age eligibility requirements for each competition grade. Players must be born within the specified date range for their age group. Clubhouse uses date of birth to determine age group eligibility, but it's the club's responsibility to ensure players are registered correctly in PlayFootball and meet all FNSW eligibility criteria.

Important: FNSW may fine clubs $2,000 per breach for fielding ineligible players — particularly in JDL programs where geographic boundary rules apply.
