Stay connected as a team manager

The club calendar, the events waiting on your reply, what Clubhouse sends you and where it keeps it, and the Working With Children Check that keeps you on the sideline.

A team manager is only as useful as what they know, and when. This page covers the calendar that shows you the whole club, the club events waiting on your reply, what Clubhouse sends you and where it keeps it, and your Working With Children Check.

Before you start

  • Your avatar at the top of the screen opens Settings. It also shows Compliance when your Working With Children Check needs attention, and a dot on the avatar tells you so: amber when it's expiring soon, red when it's missing or expired.
  • Set up calendar sync in your first week. It takes a couple of minutes and saves you checking the app for every change.

The club calendar

Calendar shows the whole club: every programme's training and matches, plus club events. That's deliberate. The clashes you need to spot are rarely in your own squad's diary: a shared ground, a club event on your training night, or another squad's fixture moving onto yours. Untick programmes in the calendars list to narrow it down when you want a quieter view.

The whole club’s week, with the event waiting on your reply at the top. Untick programmes on the left for a quieter view.

Tap anything for its details. The calendar shows you what's on; to open a match itself, go to Matches.

Club events waiting on your reply

When a club event needs an answer from you, it appears at the top of both Home and the calendar, with Reply and the reply-by date where the organisers set one. Open it and answer Going, Maybe or Can't go. Some events don't offer Maybe, and a ticketed event takes you through paying for your place. Reply early. It's the one piece of club admin that's yours, and organisers plan numbers from it.

What Clubhouse sends you

You're the person the squad's logistics run through, so Clubhouse tells you about a change at the same moment it tells the coach. You don't have to catch it on Home first.

For each squad you manage:

  • Reminders ahead of every session and match: "Training Reminder" and "Match Reminder".
  • Schedule changes as soon as they're saved: "BYL U16 training cancelled" or "BYL U16 training time changed", and for a match, "BYL U16 vs Coastline FC" with Match cancelled. or the new time underneath.
  • Availability, when a family marks a player away or sick: "Jack Muller, BYL U16 — Away".
  • Injuries, when a family reports one: "Jack Muller, BYL U16 — Injured", saying the player is marked unavailable. You learn what it means for selection, never the clinical detail.
  • Suspensions: "Suspension (BYL U16)" when a player picks up a suspension.
  • Live scores on your lock screen during the match, then "Match Result" at the end, like "BYL U16 won 2–1 vs Seacliff Strikers".

Because you're a team manager:

  • When you're assigned to a squad: "You're now a Team Manager", naming the squad.
  • If you manage an under-18 squad, as your Working With Children Check nears its expiry: six months, 30 days and seven days out, and on the day. For example, "Your WWC expires in 30 days".
  • If your check lapses past the grace period: "Your Clubhouse access is suspended".

Some messages stay with the coaching and medical staff because they're about their work, not the squad's week: the coach's lineup reminders, the physio's clinical updates and return-to-play steps, development plans, retention decisions and the club's key-date notices.

Choose what you get

Open Notification preferences under Settings. Everything for your squad starts switched on, so you only need to visit if you want less, or more.

  • Match Updates lists your squad with Live scores and Final score switched on. Turn either off, or switch on other teams you'd like to follow.
  • Reminders & Alerts lists each squad you manage under its own heading, such as BYL U16 Team Manager, with Schedule Changes, Suspension Alerts, Match Reminders, Training Reminders and Medical Status Updates.
Everything for your squad starts on. Managing is Fiona’s only role, so there’s no As a parent or As a team manager split.

If you're also a parent at the club, Reminders & Alerts splits into As a parent and As a team manager, so your own family's reminders and your squad's never get mixed up. If you also coach, your managed squads are listed with your coaching squads. Availability alerts and your Working With Children Check reminders don't have a switch.

The bell at the top opens your inbox, which keeps everything you've been sent under Inbox and Archived, so a notification you swiped away is still there. Archive all clears the list in one go.

Settings

Settings has four sections:

  • Personal Details for your name, suburb and photo. If it says No editable profile here yet, your details are kept on another of your club accounts. Switch to it from your avatar, or ask your club admin if you don't have one.
  • Compliance for your Working With Children Check (below).
  • Calendar sync puts training, matches and club events into Apple, Google or Outlook calendar, and keeps them up to date. It carries your squad's sessions and matches, and if you're also a parent at the club, your family's sit alongside them. The notifications and calendar answer has the steps for each calendar app.
  • Notification preferences, as above.

Keep your Working With Children Check current

Everyone working with junior players at the club needs a current Working With Children Check, and the team manager app asks for yours if you manage an under-18 squad. Open Compliance from Settings, or from your avatar when it's flagged.

  1. With nothing on file, the page reads WWC required. Tap Add WWC details.
  2. Enter your WWC Number, State Issued, Issue Date and Expiry Date, then save.
  3. Your check now shows Valid. Once the club has verified it with the Office of the Children's Guardian, it also shows Verified by club with the date.
A current check the club has verified. Edit is how you record a renewal.

From 30 days before expiry the page shows WWC expiring soon, and after the date it shows WWC expired. When you renew, tap Edit and update the new details here the same way. If your check is missing or expired past your club's grace period, Clubhouse shows the Working With Children Check required page in place of the team manager app until it's fixed. The WWC answer covers renewing.

Confirm it worked

  • This week's training appears in your phone's calendar without you adding it.
  • The last "Training Reminder" for your squad reached your phone, and nothing you rely on is switched off in Notification preferences.
  • No club event is waiting on your reply.
  • Your check shows Valid, with an expiry after the end of the season.
