Quick answer
Notification preferences and calendar sync for Team Managers
The calendar sync puts every training session and match for every squad you manage straight into your phone calendar. Notification preferences control the reminders, schedule changes, squad alerts and live scores you're sent for each squad you manage. Both are in Settings under your avatar.
- Tap your avatar at the top right.
- Tap Settings.
- You'll see four tiles:
- Personal Details — update your name and suburb.
- Compliance — your Working With Children Check.
- Calendar sync — the same panel that the Add to your calendar row on the Calendar page opens.
- Notification preferences — how you receive fixture updates and reminders.
For every squad you manage, Clubhouse sends you the squad news the coaches get: training and match reminders, schedule changes and cancellations, availability alerts when a family marks a player away or sick, injury status updates (never clinical detail), suspension alerts, and your squad's live scores and results. All of it starts switched on.
The Notifications page has two tabs:
- Match Updates lists your squad with Live scores and Final score on. Turn either off, or add other teams.
- Reminders & Alerts has a card per squad you manage, with Schedule Changes, Suspension Alerts, Match Reminders, Training Reminders and Medical Status Updates.
If you're also a parent at the club, Reminders & Alerts splits into As a parent and As a team manager. If you also coach, your managed squads sit with your coaching squads.
Two notifications come with the role and have no switch: the one when an admin assigns you to a squad, and WWC renewal reminders as your check approaches expiry. Coach lineup reminders, the physio's clinical updates and development plans stay with the coaching staff.
If you stop receiving notifications you expect, see I'm not receiving notifications — how do I fix it? for the troubleshooting checklist. Your notification inbox — the bell in the header — keeps everything you've been sent, in Inbox and Archived tabs, so a swiped-away push is never gone.
Calendar sync gives you one feed containing every training session and every match for every squad you manage. The feed is read-only and lives on your device — your calendar app refreshes it automatically every few hours.
Everything below starts from the same place: the Add to your calendar row below the Calendar page's list (under the left rail's Calendars list on a computer, below the day list on a phone). Tap it and a panel slides in with the calendar apps, your private link, and (on a computer) a Show QR button to point your phone at. Settings → Calendar sync has the same options.
Once it is added, that row tells you where things stand: "Waiting for first sync" until your calendar app fetches for the first time, then "In your calendar".
Apple Calendar (iPhone, iPad, Mac)
- Open the panel and tap Apple Calendar.
- Apple Calendar opens with the subscription pre-filled.
- Tap Find, then the red tick in the top-right corner. On iOS 18 and earlier there is a single Subscribe button instead.
The feed appears in your Calendars list under the club's name. Toggle it on and off per device like any other calendar.
Google Calendar
- Open the panel and tap Google Calendar. Sign in if it asks, then confirm Add calendar.
- If you land on your own calendar instead of a confirmation, go to Settings → Add calendar → From URL and paste the link from the panel.
Google refreshes subscribed calendars roughly every 12 hours, so last-minute changes may take a while to land. For the most up-to-date view, the manager portal Training and Matches tabs are always live.
Microsoft Outlook
Tap Outlook in the panel, then confirm Import. If a new-event window opens instead, close it and use Add calendar → Subscribe from web with the link from the panel. There are two Outlook buttons on a computer: one for personal accounts and one for a work or school Microsoft 365 account.
What the feed carries
The feed carries the training and matches of every squad you manage, with no programme switches to set. If you're also a parent at the club, your own children's dates sit alongside them, with their own switches in the In your calendar list.
The single feed includes every squad. Each event title starts with the squad name, e.g. "BYL U13 — Training" or "GJDL U10 — vs Eastern Suburbs", so you can tell what's for which squad at a glance. There's no separate per-squad feed — it's all one list.
- The calendar app on your device caches the feed. Force a manual refresh from your calendar app's pull-to-refresh.
- Google Calendar and Outlook can be slow to pick up changes. Check the manager portal directly for the latest.
- If a session you expect doesn't appear at all, check that you're on the right squad in the role switcher and confirm the session exists on the Training tab.
If your link leaks (e.g. you accidentally shared it with someone), there's a Get a new link button in the sync panel. Tap it and confirm, and Clubhouse generates a new link — the old one stops working immediately, including on your own phone. You'll need to add the calendar again on every device that was subscribed, and the panel walks you back through it.
