Quick answer

Keeping your Working With Children Check current

For any squad with players under 18 — every junior and youth squad at the club — every Team Manager must hold a current Working With Children Check (WWC). This is a legal requirement under the NSW Child Protection (Working with Children) Act 2012, and it's enforced by both Football NSW and your club.

If your WWC isn't current, your club admin can't keep you assigned to a junior squad. This article walks through how Clubhouse tracks your WWC, how to update it, and what happens when it lapses.

Where your WWC lives in the app

There are two equivalent entry points:

  1. From your avatar (top right of any manager portal page) → tap Compliance.
  2. From the My WWC page at /manager/wwc.

Both open the same screen: "Keep your WWC current so you can stay involved with your squad."

How the status shows

The card tells you where you stand, at a glance:

StateWhat you see
CurrentA green Valid label next to your details.
Expiring (within 30 days)An amber WWC expiring soon banner. Renew now.
ExpiredA red WWC expired banner. Update it immediately or your assignment is at risk.
MissingThe card reads WWC required with an Add WWC details button. You can't be assigned to a junior squad until you record one.

While your WWC is Missing, Expired or Expiring, a dot on your avatar keeps the status visible no matter where you are, and the avatar menu adds a Compliance entry carrying the matching badge. Once it's current, the entry leaves the menu and Compliance lives under Settings.

Verified by your club

Separately from the status label, you may see a green Verified by club label next to your WWC number once your club has confirmed it against the Office of the Children's Guardian (OCG) employer portal. It shows the date the check was recorded. There's nothing you need to do — it's your club noting that they've sighted and verified your check. A current WWC without this label is still perfectly valid; it just means the verification hasn't been run yet.

Updating your WWC

  1. Open the Compliance screen (avatar → Settings → Compliance, or /manager/wwc).
  2. Tap Edit (or Add WWC details if nothing is on file).
  3. Enter:
    • WWC Number — the alphanumeric code on your check (NSW format is something like WWCxxxxxxx).
    • State Issued — usually NSW. Other states are accepted but you'll need to confirm equivalency with your MPIO.
    • Issue Date and Expiry Date — copy these exactly off your WWC certificate.
  4. Tap Save.

The status updates immediately. If you're going from expired to current, the red dot on your avatar disappears too.

Renewing before expiry

NSW WWCs are valid for five years. Renew at Service NSW in the month before yours expires. Once Service NSW issues your new check:

Update Clubhouse using the steps above with the new expiry date (the WWC number stays the same on renewal in NSW). Doing this proactively means there's never a window where your status shows red and your assignment is at risk.

What if my WWC has lapsed?

A few things start happening:

  • The card shows the red WWC expired banner.
  • Your avatar shows a red dot until you fix it.
  • A banner appears across the manager portal reminding you to update.
  • Your club's MPIO is notified (usually as a weekly compliance digest, not an instant ping).
  • Your club admin can't add you to a new junior squad until you resolve it.
  • For squads you're currently assigned to, the admin will be prompted to end your assignment if it stays unresolved.

Sort it out before your next match day. The fix is the same as updating a current WWC — just record the new expiry date once you've renewed.

What if my access to Clubhouse is being blocked?

If your WWC is missing or expired and the club has WWC enforcement turned on, you may be redirected to a Working With Children Check required blocker page when you sign in. This is by design — you can't proceed to the manager portal until your WWC is in good standing (if you hold other roles, only the manager portal is blocked). See I'm being asked to add my Working With Children Check for the full explanation and how to clear it.

Privacy

Your WWC details — number, state, issue and expiry dates — are visible to:

  • You (always).
  • Your club admin and super admin (for assignment decisions).
  • Your MPIO (for compliance oversight).

They are not visible to coaches, parents, players, or other Team Managers.

One last thing — your role isn't your only safeguard

A current WWC is necessary but not sufficient. Your club's Member Protection Information Officer (MPIO) is your first point of contact for any safeguarding concern, and Football Australia's National Member Protection Framework sets out the conduct expected of every adult in football. If you ever need to report a safeguarding issue, contact your MPIO directly.
