Quick answer
How do I configure Clubhouse settings for my club?
Clubhouse settings let you configure your club's profile, notification preferences, integrations, governance rules, and account details. Some settings are available to all admins, others are restricted to super admins.
- Select your name at the bottom of the sidebar, then Settings.
- You'll see settings grouped into Account, Club, Billing, and Integrations.
These affect you, not the club.
| Setting | What it does |
|---|---|
| My Profile | Your name, contact details and photo (the page is titled Personal Details). |
| Change Password | Change your login password. |
| Calendar sync | Put the club schedule in your own phone calendar. |
| AI assistants | Connect an assistant and manage what's linked to your account. |
| Notification preferences | Personal preferences — which staff notifications you receive. Only shown when your roles have notification settings. |
| Compliance | Update your Working With Children Check (WWC) when your role requires one. Also appears in your avatar menu while your WWC needs attention, and on the /wwc-required page if your access is being blocked. |
These affect the entire club, and most are super-admin-only: Modules & Programs, Training Schedule, Club Notifications, Committee & Governance, Contracts, Club & Brand, Club Details and Audit Log. Club Identity and Technical Framework, the club's FNSW foundation documents, are also open to technical directors.

| Integration | What it does |
|---|---|
| Video | Every way match footage reaches Clubhouse, in one place — your camera platform, footage you upload yourself, YouTube links, and live streaming. See Video below. |
| Klaviyo | Sync player and parent contacts for email and SMS campaigns, with a ready-made segment for every programme and age group each season. See Where are my programme contacts in Klaviyo?. |
| Catapult | Connect your Catapult One account to bring GPS player tracking data (distance, sprints, top speed, player load) into Clubhouse. Sign in with your team (coach) email and password — the same login you use at oneapp.catapultsports.com; individual player logins won't have squad sessions to sync. Credentials are stored encrypted. Choose which squads receive GPS under Modules & Programs. |
| Xero | Post each Stripe deposit into your accounting system, if your club takes payments through Clubhouse. |
Settings → Video lists every source of match footage. You don't need a camera platform to use video in Clubhouse — the sources marked Always on need no account and no setup.
| Source | What it does |
|---|---|
| Veo | Connect your Veo account and camera footage, clips, match statistics and player tracking arrive automatically. Footage reaches a squad once its Veo team is mapped on the Teams tab; the sync maps a team itself when its name points at exactly one squad (marked Mapped automatically), and the Overview tab lists any Veo team with footage that nobody has mapped. Under Tools on the Overview tab you can set up live streaming and find a Watch live link to share so supporters can open your club's public live page (no login). Always use the exact address shown in the app when sharing — it may use your club's short live link when your organisation has that configured. |
| Club footage | Upload a video file to any completed match, from a phone or a computer. Open the match, go to the Video tab and choose Add footage. Nothing to set up. |
| YouTube | Paste a YouTube link on a completed match the same way, and the video plays inside Clubhouse rather than sending families off to another site. |
| Live streaming | Streams families can watch while a match is being played. |
Presentations, clips, moments and coach drawings all work on footage you supply yourself. Match statistics and player tracking are the only features that need a camera platform producing them.
Who can add footage: the coaches and staff assigned to that squad, plus club admins and technical directors — the same people who can already create clips for it. Footage can be removed again from the same place, one piece at a time.
If your club has Veo connected, a completed match with no footage yet won't offer the Add footage prompt. A missing recording there is nearly always a sync that hasn't landed, and it usually appears within the hour. Camera recordings are managed under Veo → Recordings, not on the match page.
- View your subscription plan and billing details.
- Access invoices and payment history.
- Update the payment method on file.
There are two distinct notification settings and they do different jobs:
- Personal (Settings → Notification preferences) — Controls what notifications you receive as a staff member.
- Club-wide (Settings → Club Notifications) — Controls the timing and which events send notifications to everyone (parents, players, coaches). For example, when match reminders are sent, or whether training reminders are enabled at all for your club.
Tip: If parents or coaches report not receiving notifications, check both the club-wide settings (is the event enabled?) and advise the user to check their personal notification preferences (have they opted out?).
