Quick answer

How do I manage club staff in Clubhouse?

Full walkthrough: Get your staff on board in the guide covers this step by step.

Clubhouse lets you manage all club staff — coaches, administrators, and support personnel — from a single page. You can add staff, configure their roles, invite them to the portal, and track their compliance. The Staff section is only visible to super admins.

Viewing your staff

  1. Go to Staff in the admin portal.
  2. Browse the full list of staff members, or use the tabs to filter by All, Football, Administrative, or Committee (on a phone the third tab shortens to Admin). Committee members appear under All and Committee — they don't double-list under Administrative.
  3. Use the search bar to find staff by name.
  4. Sort by name, role, program, or last active date.

Each staff member shows their role, assigned program(s), squad badges, and invite status.

Adding a new staff member

  1. On the Staff page, tap Add Staff.
  2. Enter their first name, last name, email and phone (all four are required).
  3. Select whether they're Football staff (coaches, TDs, GK coaches, S&C, physios, team managers) or Administrative staff. Football staff pick a role and, depending on it, a program or squad; administrative staff get a job title and admin modules.
  4. Leave Send an invitation to ticked to invite them straight away, then tap Add Staff Member. Clubhouse shows the invitation before it goes and adds them when you tap Add and invite 1 person; Back returns you to the form. Untick the box to add them without sending anything.

After creating their profile, you can add additional details like qualifications and contracts.

If the button reads Upgrade to Add Staff, your club's plan doesn't include staff logins yet; it opens Billing & Subscription.

Staff profiles

Tap any staff member to open their full profile. Depending on their type, you'll see different tabs:

Coach tabs:

TabWhat it contains
DetailsName, contact info, role, activation status, notes
AccessPortal login, admin modules and additional access grants
Development PlanThe coach's three conversations for the season (pre-season plan, mid-season review, end-of-season review), their goals and the feedback log
QualificationsCoaching accreditations, expiry dates, supporting documents
ComplianceWWC status, safeguarding requirements
ContractContract details and documents, the season's PlayFootball ID, and whether the coach also plays at the club
ActivityApp access, recent activity and history

Team managers and administrative staff carry the leaner set — Details, Access, Compliance, Activity — and a committee member adds a Term tab for their tenure (active term, term history, and starting a new term).

Inviting staff to the portal

Staff members need a portal invitation to log in and access Clubhouse features relevant to their role (e.g. coaches need access to manage matches and training):

  1. Open the staff member's profile.
  2. For an administrator, choose their Admin portal modules on the Access tab. A coach's or TD's squads and program come from their role, so they need nothing extra here.
  3. Select Send Invite (or Resend if one is already out). Clubhouse shows the address and the email word for word; confirm with Invite 1 person (or Resend to 1 person), or Not yet to send nothing.

A technical director can invite their own coaches without the Staff section. On the programme's Coaches page, a coach who has never been invited shows Not invited · Send invite, which opens the Clubhouse access card on their profile. Adding a coach who already has a record works the same way: Assign and send invite assigns them and sends the invitation in one step.

The invitation arrives by email, with a link to set up their account. A mobile number on the record still matters — once they're set up, several sign-in and verification flows reach them by SMS code — but the invite itself is an email, so make sure the address is right before you send.

Appointing your MPIO

The Member Protection Information Officer is appointed on a staff profile. Open the person's profile, tap Edit on the Details card, then under Additional Roles tap Add Additional Role and choose MPIO (club-wide). Once saved, Compliance → Safe to Play shows them as the club's MPIO.

Deactivating staff

If a staff member leaves the club or is no longer active:

  1. Open their profile.
  2. Go to the Access tab and tap Remove access.

This signs them out, clears their squads, admin modules and any additional access, and stops their club notifications. Their record and everything they've written — coaching notes, plans, recruitment work — stays with the club for compliance and historical purposes.

You can also set Status to Inactive on the Details tab. That stops them signing in too, but switching it back to Active does not restore their login, so Remove access and Restore access are the pair to use.

Tip: Always deactivate departing staff promptly. FNSW requires clubs to notify the Competitions Department of any coaching roster changes within 7 days.

Finding and reinstating inactive staff

Inactive staff are kept off the main list, but they're still there:

  1. Go to Staff and select the All tab.
  2. At the bottom of the list, expand Inactive staff. Searching for someone who has left opens this section for you automatically.
  3. Tap them to open their profile.

To bring someone back, open their profile, go to the Access tab and tap Restore access. Their sign-in comes back, and their admin login returns only if they had one before it was removed. Squads, admin modules and additional access are deliberately not restored automatically — grant those again so nobody quietly keeps a permission that has outlived its reason.

Note: Like the rest of the Staff section, removing and restoring access is super-admin work — other admins don't see the Staff section at all.
