Quick answer

Where are my programme contacts in Klaviyo?

Once Klaviyo is connected under Settings → Integrations → Klaviyo, Clubhouse keeps your contacts up to date and builds the segments for you. You don't need to export anything or write segment rules.

Which seasons get segments

Segments are made for the season being played and for any later season a programme is already planning. So the 2027 Girls JDL segments exist as soon as Girls JDL has its 2027 squads, even while the rest of the club is still finishing 2026.

The three kinds of segment

Each season gets three kinds, named after the season and the programme or age group:

SegmentWho is in it
2027 - GJDL ParentsFamilies of every player registered in that programme for that season, or who has accepted a place in it. Programmes made up only of adult teams say Players instead of Parents, because the player is the contact.
2027 - GJDL Offer open (not yet accepted)Families who have been offered a place and haven't answered yet. Someone who accepts moves into the Parents segment. Someone who declines, or whose offer lapses, leaves this one.
2027 - U10 ParentsThe same families as the programme segments, split by age group.

Why offers have their own segment

The Offer open segments are kept apart on purpose, so a "welcome to the club" email can't reach a family who hasn't said yes. Those families are not added to your club's main Klaviyo list and are not marked as having agreed to marketing. Use these segments to follow up an offer, not for general club news.

If a segment is missing or looks short

  • Klaviyo limits how quickly segments can be created, so new ones appear over a few hours after a programme sets up a season.
  • A contact with only a mobile number is in the segment but can only be reached by SMS, so an email campaign will show fewer recipients than the segment's count.
  • A programme with no squads for a season has no segments for it yet. Set up the season's squads first.
