Quick answer

How do I sync my child's schedule to my phone calendar?

Every match, training session and club date can live in the calendar app you already use, next to work and school. You set it up once and it keeps itself up to date.

Adding it

Open Calendar from the bottom tab bar and tap Add to your calendar below the day list. A panel slides in. The Calendars filter menu opens the same panel; Settings → Calendar sync has the same options.

It names whose calendar it is (for example "Jasper and Fletcher's calendar") — one subscription covers the whole family — and previews the next few events. Under that are the calendar apps:

  • Apple Calendar — on iPhone, iPad and Mac this opens the Calendar app straight onto its own "Add Subscription Calendar" sheet with the link already filled in. Tap Find, check the preview, then tap the red tick in the top-right corner. On iOS 18 and earlier there is a single Subscribe button instead.
  • Google Calendar — opens Google Calendar in your browser. Sign in if it asks, then confirm Add calendar. If you land on your calendar instead, open its settings, choose Add calendar, then From URL, and paste the link.
  • Outlook — opens Outlook in your browser and confirms with Import. There are two buttons on a computer: one for personal accounts (outlook.com, hotmail.com, live.com) and one for a work or school Microsoft 365 account.

Underneath is your private link, which works with any calendar app — paste it wherever your app asks to subscribe from a web address.

Google and Outlook publish no supported way to subscribe from a link, so those two buttons occasionally land you on the right app but the wrong screen. The panel tells you what to do if that happens, and the link is the path that cannot break.

How long until it appears

The card changes as soon as you have added it:

  • Add to your calendar — not added yet.
  • Calendar sync · Waiting for first sync — your calendar app has the link and has not fetched it yet. Nothing more for you to do.
  • Calendar sync · Up to date — it is fetching and up to date.

Calendar apps decide their own refresh schedule, typically every few hours, and the first fetch can take that long. This is controlled by Apple, Google and Microsoft rather than by us.

That delay is why notifications are still how you hear about a change. If Saturday's kick-off moves, the notification reaches you straight away and your calendar catches up on its own schedule.

Choosing what is included

The panel's In your calendar list shows every calendar the feed carries, each with a switch:

  • Your children — one row for the family, covering all of them.
  • Club Events — workshops, parent meetings and presentation nights.
  • Season Calendar — season phases and milestones. Keep just this on if all you want is the season's shape.

Meetings you have booked, like a player review, are always included. Events you've said you're not going to stay out.

Each calendar has its own Training and Matches switches — Training off gives a matches-only feed, handy for a grandparent.

If you also coach or manage, the list has one row per programme, so your children's dates don't drag along every squad you look after.

Changes save immediately and your subscription picks them up on its next refresh. You never need to add the calendar again.

Tapping an event to open it in Clubhouse

Your children's training sessions and fixtures arrive with a link on them. Tapping it opens that session or match in Clubhouse, where you mark an absence or read the match briefing.

Events for squads you coach but have no child in carry no link, because it would open the parent view of a squad that is not yours.

Adding it to another device

Use the same panel on the other device — once synced, the buttons and your link sit under Add on another device at the bottom. On a computer, tap QR beside the link and point your iPhone or iPad camera at the code — Apple Calendar takes over. On Android, copy the link instead.

Adding it again uses the same link, so the existing subscription keeps working.

Your link is a password of sorts: anyone holding it can see your squads' training and fixture times without signing in to anything.

That makes it fine to give a grandparent or a family you share lifts with, and not fine to post in a group chat. It is read-only, so nobody can change anything with it, but a QR code on a screen other people can see gives it away just as easily.

If you share the link by mistake, or you lose a device that had it, tap Get a new link at the bottom of the panel and confirm.

The old link stops working immediately. Every calendar using it stops updating, including the one on your own phone and any you have shared, and you get a new link to add again straight after. The panel walks you back through adding it.

Removing it

Unsubscribe in your calendar app, the same way you would remove any other subscribed calendar. On iPhone that is Settings > Calendar > Accounts, then the Clubhouse subscription. Resetting your link also stops everything using the old one, if that is easier.

Common issues

  • "Validation failed" on iPhone. Update iOS, then try again. If it still fails, copy the link and paste it into Settings > Calendar > Accounts > Add Account > Other > Add Subscribed Calendar.
  • Nothing has appeared yet. Check the card on the calendar page. "Waiting for first sync" means your calendar app has not fetched yet and there is nothing to fix. "Add to your calendar" means the subscription did not complete, so tap it and add it again.
  • Events appeared but stopped updating. The link has probably been reset, here or on another device. Open the panel and add the calendar again.
  • Duplicate events. You have subscribed twice, usually once with a button and once by pasting the link. Remove one of them in your calendar app.
  • A change has not reached my calendar yet. Give it a few hours. Meanwhile the Clubhouse calendar page and your notifications always show the current version.
