Quick answer

When training is cancelled or rescheduled

Your club occasionally has to move or cancel training — wet weather, venue conflicts, school holidays. Clubhouse handles these changes through one notification and three visible places (the schedule, the session detail, and the calendar feed) so you always know what's on and what's not.

This article covers what you'll see when a session changes, how quickly the change reaches you, and how to look back to confirm what was originally planned.

What you'll see when a session changes

Three things happen when the club changes a session:

  1. A notification. Unless whoever made the change turned off Notify players and parents, you'll get a notification on your phone as soon as it's saved, headed along the lines of "BYL U13 training cancelled" or "BYL U13 training venue changed". A cancellation also goes out as a text message.
  2. Updated session row in the Calendar tab (parent app), Training tab (coach / manager), or your child's Up Next on the home screen. The row reflects the new time and venue directly, and a small pill flags what kind of change it is — see the table below for the exact colours and labels per surface.
  3. Calendar feed update. The next time your phone refreshes its subscribed Clubhouse calendar (every few hours for Apple Calendar; ~12 hours for Google Calendar), the session in your calendar reflects the change. For up-to-the-minute accuracy, the Clubhouse app is always live.

Cancelled vs changed

The pills you see depend on which surface you're looking at, because each one carries a different amount of structured "what changed" data:

SurfaceCancelledTime changedVenue changed
Up Next on the parent home tabRed Cancelled pillAmber Time changed pillPurple Venue changed pill
Calendar tab (parent app)Red Cancelled pill(no pill — row shows the new time)(no pill — row shows the new venue)
Training tab (coach)Red Cancelled pillAmber Time changed pillPurple Venue changed pill
Training tab (team manager)Red Cancelled pill(no pill — see notes below)(no pill — see notes below)

A row with no pill is in its original scheduled state, with no changes recorded against it.

Why does the parent Calendar tab show less detail than Up Next? Up Next is a focused short list of imminent sessions, so each row has room for a "what changed" pill. The Calendar tab is a 30-day scrollable list optimised for density — the new time and venue are already on the row, so the extra pill would just duplicate information you can read directly.

Why do team managers only see Cancelled? The manager training feed is intentionally simpler than the coach feed. Cancellations are surfaced as a pill so they're impossible to miss; time and venue changes show as the new value on the row. Team managers are sent the same change notification as families, and it carries the original time or venue.

Looking at what changed

Tap any session row with a Cancelled, Time changed, or Venue changed pill to open the detail. The session detail shows:

  • Original date / time / venue (in muted text).
  • New date / time / venue (in standard text).
  • Reason (if one was given — wet weather, ground closure, etc.).

For cancelled sessions, the same detail page shows the original scheduled details and a clear "Cancelled" banner. If a session is changed more than once, the latest change is what you see.

How quickly you'll hear

The notification goes out as soon as the change is saved. For a cancellation, the text message goes at the same time.

Edge cases:

  • Phone is offline — the notification waits until you're back online.
  • You're outside the squad — only families and staff associated with the squad receive these notifications. If you've followed a squad you're not directly associated with, you'll still receive cancellation notifications.

Adding the changed session back to your calendar

Calendar app subscriptions update automatically. If the change isn't showing in your phone's calendar after a few hours:

  • Apple Calendar — long-press the calendar in your Calendars list → Refresh.
  • Google Calendar — there's no manual refresh; the cache updates on its own schedule (~12 hours).
  • Outlook — the same as Google Calendar — cache-driven.

The Clubhouse app is always live for the most current view.

Why does my coach sometimes message me about a change too?

Some coaches will send a personal message in addition to the Clubhouse system notification — particularly for last-minute changes where they want extra confidence the message landed. That's their choice. The Clubhouse notification is the official one and goes to everyone in the squad's family list.

Adjusting how you hear about changes

Training change notifications follow the Schedule Changes toggle in your notification preferences, which starts on.

For more on notification preferences, see Manage your notification preferences.
