Quick answer

Medical notifications: who gets what, and when

Medical notifications are the most consequential messages Clubhouse sends. This is the overview and the canonical matrix; for the detail of what each audience actually sees and how to manage their own preferences, jump to the focused articles below.

Quick reference: every update type has a sensible default audience. Trust the defaults unless you have a specific reason to change them.

The five audiences

  • Physio — the treating physio on the injury, or every physio at the club when nobody is assigned yet.
  • Coach — the head and assistant coaches of the player's squad, plus the S&C lead and assistants when an update is shared with coaches & S&C. Stripped of clinical detail (see Who can see what).
  • Family — every parent or guardian on the player's family record.
  • Player — the player themselves, if they have their own account.
  • MPIO — safeguarding flags only. See Safeguarding and child injury escalation.

Channels: P = notification in the Clubhouse app, E = email, — = nothing sent.

A few rows need a word of explanation:

  • Family reports a new injury also reaches the squad's team managers and the programme's technical director, who are told the player is unavailable.
  • The three update rows, and Injury resolved, send only when you leave Notify on, and you can leave individual people out.
  • The two GRTP rows with a coach blank are deliberate: the steps don't change a team sheet, so the coach first hears at clearance.
  • A concussion has no alert of its own. Reported by a family, it follows the new-injury row; recorded by you, nobody is told until you save the GRTP plan.
  • Injury reviews still pending and Season wrapped go to every physio at the club, plus the technical directors and heads of programme.

End-of-season reminders

Two of the physio reminders above quieten down once a squad's season has finished, so you aren't chased about players who have stopped training:

  • Injury reviews still pending stops for a player whose season has ended — there are no lineups left for an unreviewed report to block. A concussion report keeps nagging regardless.
  • Season wrapped, injuries to close out is sent once per season, to the same physios, when a squad finishes with open injuries still on the board. It names no deadline; the date tidying starts is shown on the board itself, next to the injuries it applies to. See How do I manage the injury board?.

Channel routing

  • Everything except safeguarding arrives as a notification on the recipient's phone, and in their in-app notifications list. There is no email or text message, and nothing is sent to someone who doesn't have the Clubhouse app signed in on a phone.
  • Safeguarding flags go to the club's MPIOs as a notification and an email, straight away.
  • Internal entries (clinical notes, internal notes, symptom status, triage notes) notify nobody. They live on the timeline inside Medical.

Families can switch Medical Status Updates off in their notification preferences, and physios can switch off Medical Status Updates and Medical Document Uploads. For a family that stops status, rehab and referral messages only. Concussion and return-to-play messages always come, even with it off. A parent misses one only if you untick them, switch Notify off, or their access to the child has been removed. Safeguarding alerts to the MPIO can't be switched off.

Read more by audience

This article is the master matrix. The articles below explain what one specific audience actually receives and how they can manage it:

  • What coaches see and how it's worded
  • What families see and how to control delivery
  • What players (16+) see in their own portal
  • What admins, super-admins and TDs see (escalations)
  • What fires when you (physio) take an action

Verifying delivery

When you send an update or a clearance from an injury, its timeline entry reads Notified followed by the first names of the people it was addressed to. That is who it was sent to, not proof it arrived: someone without the app, or with medical notifications switched off, is still named. GRTP messages and the messages a family's own report triggers don't appear on the timeline.

If a person reports they aren't receiving notifications they should be, point them at I'm not receiving notifications — how do I fix it?.

A short philosophy

Medical notifications exist to keep the right humans informed. They're not a way to broadcast everything you observe — that creates noise and erodes trust in the channel. Be deliberate about what each update is for, pick the matching update type, and trust the defaults.
