Quick answer
Recruitment from your coach portal
If your club has given you recruitment access, a Recruitment item appears in your sidebar. On a phone the sidebar only shows the first few items, so look under More at the end of the bottom bar.
Depending on what you've been given, the page opens with up to three tabs:
- Targets — the club's scouting board, the list of players being tracked.
- Coaches — the club's hiring pipeline, the coaches it is talking to.
- EOIs — the inbox of people who have contacted the club through its expression-of-interest form.
The walkthrough is Scout and review players; this article is the reference for where scout access starts and stops.
You may see all three, any one of them, or only EOIs. That's not a fault; see What my access covers below. If you only have one, there's no tab strip at all — a single tab is a label, not a choice.
Whichever you have, the recruiting parts are open to you and the money parts are left to the club's admins.
It is off by default for coaching staff, because a recruitment record holds named children who aren't club members yet, along with their parents' contact details. A super admin turns it on per person, under Additional access on your staff record. If you think you should have it, ask a club administrator.
Once it's granted, reload the page — the item appears without you logging out.
There are two separate things a club can give you, and two levels of each.
The streams decide whose enquiries you can read:
- Player recruitment — junior and youth players enquiring about joining.
- Coach recruitment — people applying to coach at the club.
They are granted independently, so having one does not imply the other. The EOIs tab shows a Players / Coaches switch only for the streams you hold.
The level decides how much of that stream you get:
- Full access gives you that stream's board as well as the inbox — the Targets board for player recruitment, the Coaches board for coach recruitment.
- EOI review only gives you the inbox alone, and no board. You can still read every submission, mark it reviewed, shortlist it, dismiss it, and add someone to the pipeline. What you can't do is correct an applicant's date of birth or which programme they've been routed to — that's an intake repair, and it stays with the club's admins.
If you only hold EOI review, the page opens straight on the inbox. A link a colleague shares with you that points at a board will land you on the inbox too, rather than on an empty page.
Each submission arrives as New and moves through Reviewed, Shortlisted or Dismissed as you work it. Filter by programme, by status, and — for players — by whether we've matched them to a Dribl record, which tells you if they're already registered somewhere.
Open a row to read the whole submission, then use the buttons at the bottom of the panel:
- Shortlist flags them as worth pursuing, so they surface for whoever runs the intake.
- Add to pipeline creates a recruitment target from the submission, so they appear on the Targets board without you retyping anything.
- Dismiss clears them out of New without deleting the record.
Two things you won't find in the coach portal at any level: resending an applicant's confirmation email, and the intake import tools. Both send mail or repair data on the club's behalf, so they live with the admins who run the process.
This is the club's hiring pipeline, and you'll have it if you hold coach recruitment at full access. Candidates sit in five stages, left to right: Shortlisted, Contacted, Evaluating, Offer and Signed. Drag a card between them, or change the stage from the pill at the top of the detail panel. Candidates who declined or withdrew leave the board rather than cluttering it.
Tap Add Candidate to start one — a name is all that's required. Open a card to work it:
- Contact details, including a LinkedIn profile if you have one.
- Notes and Qualifications — their coaching badges and where they've worked.
- History — their previous roles, including any at this club.
- References, at the bottom of the panel, where you record who you spoke to and what came back.
Moving someone to Signed opens the Add to staff step (also in the detail panel), so the appointment becomes a staff record with a squad and a role. It can send the invitation too, including to a coach who already had a record but was never invited.
One thing you won't have here that a club admin does: a link through to the staff profile of a candidate you've already appointed. That lives in the admin area, which this page deliberately doesn't send you into.
Filters, search and the board/table toggle all work as they do on Targets, and your filter choices are remembered separately for each.
The rest of this article is about the Targets board. If your access is EOI review only, you won't have that tab and the inbox above is the whole of your recruitment surface.
Targets sit in six stages, left to right on the board:
- Identified — someone worth watching.
- Contacted — we've reached out.
- Interested — they've responded and want to hear more.
- Trial — they're training with us.
- Offered — the club has made a formal offer.
- Signed — they've accepted.
You can move a target freely between the first four. Offered and Signed are shown with a padlock: you can see who's in them, but you can't drag a card in or out. Try it and you'll get Offers and signings are handled by club admins. They stay visible on purpose — without them you'd keep chasing a player the club signed last week.
Tap Add Target. You'll need a name and the Target Squad you're recruiting them for; everything else — club, position, source, notes — can be filled in later as you learn it. New targets start in Identified.
Add anyone you've genuinely seen play. A one-line note about why is worth more to the club than a perfectly filled-in form.
Tap a card to open its detail panel, where you can:
- Update their contact details and the squad you're recruiting them for.
- Add notes — these are shared, so write for the next person reading them.
- Add to the activity timeline and watch any footage.
- Read staff reviews, or tap Request review to ask for one.
- Change their stage from the pill at the top.
- Mark them declined if they've said no. That's a label, not a stage — the card stays where it is with a declined flag, so you keep the history.
Offer amounts, contracts and the Contracts planning tools aren't part of your view. Nothing is hidden from you that affects your scouting work.
- Board / Table — switch with the toggle on the filter bar. Board is best for seeing where everyone sits; table is better for scanning a lot of names.
- Filters — Program, "Recruiting for" (the age group they'd join next season) and Source. Your filter choices are remembered per portal, so what you set here doesn't follow you into another role.
- Search — matches on name.
- On a phone the board becomes a single scrollable list, and pulling down refreshes it. Recruitment sits under More in the bottom bar rather than on it, because the items you use every day come first.
Everyone with recruitment access at your club — admins, technical directors and other granted staff. Treat the notes as a shared file on that player, and keep anything you wouldn't say to their parents out of it.
