Quick answer
What are Club Events and how will I see them?
Club Events are everything your club schedules that isn't a match or training session — workshops, parent meetings, coach meetings, committee meetings, debriefs, mid-season reviews, testing dates, deadlines, trial days, end-of-season events, and so on. (You may have heard them called "Key Dates" before — that's the same thing under the old name.)
You only see Club Events you've been invited to. If an admin creates an event for "Football staff" you won't see it as a parent; if they create one for "All families" you will.
One-on-one player reviews are different: instead of just being announced, you pick a time from the coach's available slots. A booked review appears in your calendar under Club Events too, but you book and manage it separately — see How do I book my child's player review?.
When an admin publishes a new Club Event, you get a push notification straight away:
New club event: Concussion awareness workshop Saturday 14 June, 7:00pm — Sutherland Sharks clubhouse.
Tap the push to open the event detail. The event then shows up in three places inside the app:
- The Up Next feed on your home screen, alongside upcoming matches and training.
- Your synced phone calendar (Apple Calendar, Google Calendar, Outlook) if you've subscribed to the ICS feed.
- The event detail page, with location, description, and a link to add it back to your phone calendar.
Yes — when the club asks. Open the event in Clubhouse and you'll see Going, Maybe and Can't go. (Maybe only appears if the club offered it.) Tap your answer again to take it back.
Some events also ask who is coming, which is where a list of your family appears under the buttons:
- You are ticked to start with. Untick yourself if you're not the one going.
- Your children start unticked — tick whoever is coming.
- Add guest adds anyone else by name (grandparents, a family friend). Remove them with the bin icon.
The club decides how many people one family can bring, and the counter above the list shows where you are against that (e.g. "2 of 4"). If the club allowed only the person invited, there's no list — just the three buttons.
Nothing reaches the club until you send it. The button under your answer says Send your reply the first time, Save your reply once you've replied and are changing something, and Remove your reply if you've untapped your answer to withdraw altogether. Change your mind later by ticking or unticking whoever changed and saving again.
If the event costs money, Going is replaced by the ticket flow: choose who's coming and which ticket each person needs, then Continue to payment. Maybe and Can't go still work without paying. Nothing is added for paying by card — the ticket price is the whole amount, however you pay. The figure on the event page is still called an estimate for one reason: the price is confirmed from the club's ticket types at the payment step, so it will differ if the club changed a price while you were choosing.
If you already said yes while an event was free and the club added a price afterwards, your place stays and you owe nothing. You'll see "Your place is held" with no mention of a receipt, because nothing was charged.
If the club set a reply by date, replies close at the end of that day. You'll see a short note under the buttons (e.g. "Please reply by 12 Aug"). If the club switched reminders on, you may also get a nudge in the day before that deadline.
If the event is full, you can still let the club know you Can't go (or Maybe, if offered) — you just can't claim a new spot.
If you've subscribed to the Clubhouse calendar feed (How do I sync my child's schedule to my phone calendar?):
- Free events that only need a yes or no from you include a personal link in the event description that opens a simple reply page (
/e/…) — same Going / Maybe / Can't go choices, no login required. It records the one place, for you. - Events that ask who's coming, or ask a question (dietary needs, for instance) point you into Clubhouse instead. The simple page can only record one person and can't carry an answer, so a link that let you reply from your calendar would quietly book a family of four as one — and never pass on the thing the club asked for.
- Paid events point you into Clubhouse to buy tickets instead (paying always needs the app / signed-in Clubhouse).
- If you answer Can't go, that event drops out of your synced feed on the next refresh so it no longer clutters your phone calendar.
Reminders are the club's choice per event, not something the topic decides. When the club has switched them on you'll get a reminder push a few days before the event runs, and a nudge before the reply-by date if you still haven't answered. When they haven't, the original invitation is the only push you'll get.
If the admin updates the date, time, end date, location, or title of an event you were invited to, you'll get a change push:
Updated: Concussion awareness workshop Moved to Saturday 21 June, 7:00pm.
Multiple edits in the same minute (admins often fix a typo, then add a missing location, then tweak the time) collapse into one inbox row stacked under the original invitation, so your inbox stays tidy. If the event is archived (un-invited) you'll also be told.
You can mute each of the three notification streams independently — invitations, change pushes, and reminders. Open Settings → Notifications on your profile and you'll find:
| Toggle | What it controls |
|---|---|
| Club Event Invitations | The first push when a new event is announced |
| Club Event Updates | Change pushes when an existing event is edited |
| Club Event Reminders | The "few days before" reminder push, and reply-by nudges, on events where the club switched reminders on |
All three default to ON. Muting any of them doesn't remove the event from your Up Next feed or your synced calendar — only the push notification stops.
If you've followed How do I sync my child's schedule to my phone calendar? the same feed includes Club Events you've been invited to. The feed is role-aware: it carries what every role you hold can see, so a parent who also coaches gets both the parent and coaches' meetings from one subscription. Staff-only events never reach a parent.
There's nothing extra to set up. Once you've added the feed, new events flow into your calendar automatically on the next refresh (Apple Calendar refreshes roughly every two hours, Google Calendar up to twelve).
Audience is club-wide, not per-child. If a club-wide workshop is announced for "All families", every family in your account sees it once — there's no duplication if you have multiple kids in different squads.
If an event is targeted to "Specific squads", you'll see it if any of your kids is on one of those squads.
