Quick answer
Wellness flags & clinical triage
/admin/medical/wellness (for physios) and /admin/sc/wellness (for S&C staff) are the clinical deep-view for the daily wellness check-in. Both show the same three-tab page for the whole club, because at the database layer both groups are clinical-in-scope for club-wide wellness data. The three tabs are:
- Check-ins — a 14-day heat-map across every enrolled player at the club. This is the default tab so you always land on populated data.
- Watch list — the active queue of players whose pattern has triggered a clinical flag.
- Trends — per-squad compliance and the daily composite trend, over a Window you pick (Last 14 days, Last 30 days, Last 90 days, or Since first session).
Technical Directors get the same three-tab surface scoped to their own program at /admin/programs/[slug]/wellness, surfaced as a Wellness entry in the program sidebar whenever at least one squad in that program is enrolled in daily check-in. The entry mirrors the medical sidebar pattern — a red count pill shows the program's unactioned-flag total — so TDs can jump straight into triage without going via the dashboard. With the sidebar collapsed to icons on a computer, the count shrinks to a red dot on the Wellness icon. Programs without an enrolled squad don't see the entry at all.
This article covers how flags are computed, what you see in the player drill-down, and the actioning workflow.
Players can add a free-text note to their check-in ("hamstring's tight", "didn't sleep, exams"). You no longer have to open each player to find out whether there is one.
On the Check-ins tab:
- A small blue dot on the top-right of a day's cell means the player left a comment that day. It shows on all 14 days in the window, including green days — a healthy score with "my hamstring is tight" underneath is exactly the case that used to go unnoticed.
- A speech-bubble icon next to the player's name means they've commented at least once in the window. Hover it for the count.
- A Comments today card sits above the grid listing today's comments in full, newest window only, so the common morning question ("who wrote something?") is answered without a single click. The card is hidden entirely on days nobody commented.
Comments longer than three lines are trimmed in the card — tap the row to open the player's drill-down and read the note in full alongside the rest of their history.
Notes from unfinished check-ins appear too, marked with an amber Not submitted pill and no composite score. The note box is the last step of the check-in and saves as the player types, so someone can write how they're feeling and then close the app without finishing. Those notes are invisible everywhere else, and they're often the ones worth reading first.
The Team filter applies to the card as well as the grid.
Comments are clinical-only. They don't appear on the coach heat-map, in the coach's squad view, or anywhere in the manager portal — the grid a coach sees has no comment markers at all.
A player who is out for the season shouldn't be asked how they slept every morning — and because they won't answer, they'd otherwise pile up a Missed 4+ check-ins flag and sit on your watch list taking a slot from someone who needs attention.
Pause them instead. Two places, same control:
- Wellness drill-down — tap the player anywhere on the Check-ins tab or Watch list, and the pause sits at the top of their modal.
- Injury record — on any open injury, under the return estimates. This is usually the natural moment: you're already recording that they're out until September.
Set an end date and check-ins restart automatically the day after — no diary note needed. The date is prefilled from the injury's estimated return to match when there is one, so for most long-term injuries it's two taps. Leave it empty to pause indefinitely and resume by hand.
While a player is paused:
- They receive no daily prompt and no follow-up reminder.
- They accrue no new flags, and any flag they were already carrying is cleared the moment you pause them.
- They still appear on the heat-map, marked Paused, so their empty row reads as "we stopped asking" rather than "they stopped answering". Their history stays intact.
Resume at any time from the same control. Resuming doesn't retroactively flag the paused period — the player starts with a clean sheet, which is what you want for someone coming back from a long absence.
Pausing is clinical-only. Coaches can't pause a player, and can't see that a player is paused.
Each morning the platform runs the flag compute pass immediately before the TD clinical alert fires, so any submissions made in response to the follow-up reminder are reflected in the flags you see. The alert time is configurable per club (default 10am Sydney). Computed rows live in wellness_player_flags. Three flag types currently fire:
| Flag | Trigger |
|---|---|
| Low mood streak | Mood ≤ 2 on 3 consecutive submitted days |
| Composite dip | Composite ≤ 2.5 on 3 consecutive submitted days |
| Missed check-ins | 4+ reminded days with nothing submitted — never fires for a player who was never asked |
Squads with connected wearables can additionally fire a recovery deviation flag. Flags also clear themselves when the underlying signal resolves — a player who recovers before you got to them moves to Cleared on the next compute pass.
Tap any player row to open the clinical modal. It includes:
- Flag history — every flag fired in the last 90 days, with the actioning note you (or another clinician) added.
- Daily history (with notes) — every check-in, with the five item scores, sleep hours, and the player's free-text note if they wrote one.
- Edit ledger — every change a player made to a previous answer, with old value → new value, who edited it, and when. This is the audit trail that lets you trust the data even when something looks unusual.
The same drill-down respects scope: a Technical Director only sees players in their own program; club-level medical staff and admin staff see the whole club.
When you've followed up on a flag — chatted to the player, looped in the coach, suggested a recovery session, added a triage note — tap Action & clear on the row in the Watch list. You'll be prompted for a short follow-up note (optional, up to 500 chars). The note is preserved on the flag forever and shows up in the player's flag history.
Action & clear does exactly what it says: it clears every active flag for that player and resets their wellness tracking from today, so they only return to the watch list on a fresh run of low scores or missed check-ins. It's a decision, not a snooze — if you're not ready to decide, leave the flag pending. Recently cleared players stay visible in a Cleared (last 7 days) section so the week's trail is readable.

Reminder: Wellness data is sensitive. Do not export it, screenshot it, or share it outside the medical / TD / safeguarding circle without the player's (or, for minors, the family's) consent.
