Quick answer
How do I manage an injury through its lifecycle?
The injury detail panel is where you manage an injury from initial report through to resolution and medical clearance.
- Opening the detail panel
- Triaging family-reported injuries
- Injury information
- Adding an update
- Notifications
- Customising recipients
- Concussion protocol (GRTP)
- Documents
- Timeline
- Resolving an injury
- Deleting an injury
Tap any injury on the Active Injuries board or Injury History page. The panel slides open on the right showing the player name, squad, and current status.
When a parent reports an injury through the app, it appears with Pending Review status. You'll see a "Reported by family" label with the parent's name.
Two actions are available:
- Accept & activate — confirms the injury and moves it to Active status on the board
- Dismiss — removes the report if it doesn't warrant tracking
The panel displays all recorded details: onset date, body region, side, mode of onset, diagnosis, treating practitioner, severity, and estimated return dates. For players in squads with GPS tracking, a Return to play — GPS card appears below — see Return-to-play GPS tracking.
Tap Add update to open the composer. You'll first pick the type of update you're logging — each picks a sensible default audience:
- Update status — the all-in-one update for a change in the player's situation. Set availability and, for modified training, the drill integration level (Low / Moderate / High / Full), a target max-speed slider, permitted activities and rehab components — plus the next review date and return-to-training / return-to-match estimates. Add an optional note on what the player can and can't do, then choose who to tell: the player and family, the coaching staff and S&C, or both. This replaces the old separate "Training modification" update.
- Rehab / training program — a plan for the player to follow at home or in the gym. Defaults to notifying the player and family.
- Clinical note — assessment findings and progress observations. Internal by default — notifications off unless you toggle them on.
- Referral / report — outcome of a specialist visit or a summary of a report. Supports optional file attachments (e.g. MRI scans, specialist letters) directly in the composer. Defaults to notifying the player and family.
- Internal note — private to the medical team. No notifications can be sent — this type is for audit-only context that shouldn't leave the medical group.
For most update types the composer shows a single Notify toggle with a friendly label naming the real recipients (e.g. "Notify Jack, David and Renee"). The audience is fixed by the type, so you can't send a clinical note to parents by accident.
Update status is different. A change in a player's situation often matters to both the family and the coaches, so it gives two independent toggles — Player & family and Coaches & S&C — both on by default. Turn either off to keep that group out. If a group has nobody to notify (e.g. a squad with no coaches, or a player with no family contacts), its toggle is disabled with a short explanation so an update can never silently notify no one.
Toggles default on for external updates and off for clinical notes. Flip them off if the update doesn't warrant interrupting the player, family, or coaches.
When notifications are on, a small Change link appears next to the notify summary. Tap it and the recipient list slides down — every eligible person (coaches, S&C staff, the player and each parent) gets their own switch with their name and position. Flip any switch off to leave that person out, and the summary updates live. Exclude everyone and the update saves without notifying anyone.
A few things worth knowing:
- The list reflects the audiences in play — coaches and S&C, the player and parents, or everyone together for an Update status addressed to both.
- Exclusions only apply to this update. They reset whenever you turn an audience off and back on, so you always start from "notify everyone" unless you change the selection again.
- Internal notes and types where notifications are off don't show the Change link — there's no audience to choose from.
For head injuries flagged as suspected concussions, a GRTP Progress indicator tracks the eight-step Graduated Return to Play pathway from the Football Australia Community Sports Concussion Guidelines (April 2025). The physio plans every step against a real session or fixture in the GRTP plan builder, the coach confirms Steps 1–6 from the player's training session row, and the physio approves Steps 7 (full-contact training) and 8 (return to match) explicitly.
Hard floors enforced by Clubhouse:
- Step 7 (full-contact training): minimum 14 days from the incident, AND 14 calendar days symptom-free before the step can be approved.
- Step 8 (return to match): minimum 21 days from the incident.
- Repeat concussion within 12 months: floors double to 21 days for Step 7 and 28 days for Step 8.
Resolve stays gated until Step 8 is approved AND a medical clearance practitioner is recorded on the resolve form. Optional FA RTP Declaration uploads attach to the injury as an internal note for audit.
See Graduated Return to Play (GRTP) for the full step table, planned-progression model, and notification matrix.
Any documents uploaded by parents (specialist reports, imaging results) or attached by staff appear in the Documents section with their type, upload date, and review status. To attach a new document yourself, use the Referral / report update type — files uploaded there are saved against the update and surface in this list.
The Updates timeline is a chronological record of every status change, clinical update, and parent-submitted note. Each entry is labelled with its update type (e.g. Update status, Clinical note, Referral / report) so you can see what happened at a glance. Where relevant, an entry also shows the note itself, the availability at the time, any return/review dates that were set, who it was shared with, who was notified, and any attachments.
When a player is cleared to return, tap Resolve injury. You'll be prompted to enter:
- Return to training date (required)
- Return to match date (optional)
- Medical clearance date (optional)
- Medical clearance by — select the staff member who provided clearance
Once resolved, the injury comes off the Active Injuries board and is moved to the Injury History page. From there you can search resolved cases, filter by season, and see total days lost. Resolution itself is one-way — if you need to revive a case, log a fresh injury.
If a record was created in error (e.g. a duplicate entry or a test record), use the Delete link in the top-right of the panel header. A confirmation prompt will appear before anything is removed.
Deleting an injury is permanent and cannot be undone. It removes the injury itself along with every update in its timeline. Any uploaded documents remain in the medical document queue so they can be re-linked to the correct injury if needed.
Prefer Resolve injury over Delete whenever the injury genuinely occurred — resolving preserves the medical history, which is important for recurrence tracking and reporting.
